**Medical Office Administrator (MOA) Job Description**

Looking for a friendly and hard-working individual who is a quick learner and self starter to join our team in busy family medicine office.

Experience with Practice Solutions EMR beneficial but not required.

**Duties and Responsibilities**
- Pleasantly greets all patients both during scheduling, registration process and when answering all phone calls. He/she respectfully redirects calls as needed. Triages and prioritizes the relay of messages promptly. Triages patient complaints for physician review.
- Schedules patient appointments daily and as required to optimize flow and minimize downtime.
- Ensures the electric medical record (EMR) patient information such as address and pharmacy of choice, next of kin is accurate.
- Ensures all forms (such as WSIB) are identified, scanned and tracked.
- Responsible to pick up, distribute and send mail, shred material daily as required.
- Ensures that all incoming documents (electronic or by FAX) are scanned appropriately to EMR.
- Documents all communication with patients in the EMR and patient chart accurately and concisely at the time of encounter.
- Adheres to all human resource policies. Maintains confidentiality at all times.
- Facilitates and coordinates all meetings for staff, physicians.
- Demonstrates excellent organizational and communication skills.
- Evidence of problem solving and conflict resolution skills.
- Coordinates patient care through the exam rooms using universal infection control precautions. Obtains and documents patient information using templates as required. Obtains vital signs as directed by physician.
- Arranges for referrals/consults as directed by physicians, keeping referral bank current. Calls patient when appointment consult/referral date is received.
- Manages patient advice calls to discuss tests and provides patient instruction only as advised by the physician.
- Monitors, tracks and records all preventative care and screening to including immunizations, flu shots, mammograms, BMDs, paps, colon cancer screening.
- Competent or interest in learning sterilization procedures for office equipment.
- Orders administrative/medical supplies as needed. Develops and maintains spreadsheet of inventory. Stocks exam rooms and nursing station daily with medical supplies.
- Collaboratively works with health and safety to ensure that all medical equipment, emergency box, such as oxygen tanks, liquid nitrogen, are checked a minimum weekly and keeps a record.
- Demonstrates flexibility to accept changes to areas of responsibility as required.

**Qualifications and Skills**
- Medical Secretary or Office assistant certificate/diploma or equivalent required.
- Three to five years of experience in a clinic and or family practice office preferred.
- Demonstrated knowledge of medical terminology required.
- Experience with PS Suites EMR an asset.
- Evidence of problem solving and conflict resolution skills required.
- Demonstrates excellent organization and communication skills.
- Demonstrates effective listening and verbal skills required.
- Professional in attire required.
- Demonstrates flexibility to accept changes to areas of responsibility as required
- Demonstrates ability to maintain confidentially for all information pertaining to the work environment.
- Current police check (within last 6 Months) required
- Up to date TB skin test and yearly flu shot.
- Proof of vaccination for MMR, tetanus, pertussis and Hepatitis B.

**Job Types**: Full-time, Part-time, Permanent
Part-time hours: 32-36 per week

**Salary**: $20.00-$21.00 per hour

Schedule:

- Evening shift
- Monday to Friday
- Weekend availability
