**Job Summary**
Interested in joining our team?
As the Executive Assistant, you are the first point of contact for all our visitors at our Corporate Office. Answering and forwarding all incoming calls to appropriate personnel, receiving and distributing in house mail, and ensuring outgoing mail is sent out externally or delivered to our other facilities accordingly are just some of the things you will be responsible for. You will also be coordinating schedules and providing administrative support to our Chief Executive Officer (CEO).
**Here is what a typical day looks like**
- Answer switchboard and welcome visitors at reception
- General clerical duties include; mail, faxing, photocopying, data entry, word processing & spreadsheets & scheduling meetings
- Maintain kitchen area & coffee supplies
- Ordering for luncheons & maintaining boardroom(s) schedules
- Act as a key point of contact for Chief Executive Officer (COO) including scheduling all appointments and screening phone calls
- Create presentations as needed and requested
- Preparing letters, documents, and other communications
- Assist coordinating company events
- Book travel as needed
- Organize Quarterly Board meetings and Annual General Meeting
- Maintaining the Chief Executive schedules
- Other duties and special projects as assigned

- Post-Secondary education in business or office administration
- 2-3 years’ experience in an administrative role assisting with an Executive Team
- Ability to maintain the utmost discretion and confidentiality
- Exemplary planning, organizational and time management skills
- Ability to multitask and prioritize the daily workload
- High level verbal and written communication skills
- Positive and professional demeanor
- Proficient with Microsoft Office 2010, Excel, Word Processing
- Strong keyboarding skills
