**Position Purpose**

The purpose of this position is to provide administrative and clerical support for effective functioning of the Health & Ability team and its processes and programs.

**Major Duties & Responsibilities**

Provide overall administrative support for day-to-day office operations.
Sort, file, scan and organize electronic and physical files.
Prepare monthly and quarterly reports including Board reports, sick reports and statistical reports as required.
Monitor the Health & Ability inbox and respond to general questions or forward to Representatives or Coordinators as required.
Sets up the initial WSIB claims/IODs and non-occupational files in the Parklane system.
Sort, scan and upload WSIB mail to Parklane system including follow ups.
Schedule meetings, meeting rooms as required.
Assist in gathering and researching information as requested.
Process confidential documents/information in the Parklane system.
Assist with ensuring the accuracy, completeness and integrity of the employee Health & Ability file.
Assist with booking and arranging Independent Medical Evaluations (IMEs), Functional Abilities Evaluations (FAEs) and Physical Demands Analyses (PDAs) at the direction of Coordinators, Supervisor or Senior Manager.
Monitors Central Sick Leave usage and sends out requests. Monitors Central Sick Leave reimbursements/repayments/balance and sends updated communication to stakeholders. Prepares quarterly CSL usage reports.
Track employee retirement dates and send out required communication within expected timelines.
Provide a follow up reminder for coordinator related to eligibility period including documentation and linking into Parklane for OMERS Waiver of Disability.

**Mandatory Qualifications**

Successful completion of a two (2) year college diploma in business/office administration or a related field or equivalent training and experience.

Minimum of six (6) months of previous experience in office administration and clerical experience.

**Preferred Qualifications**

Knowledge of Parklane preferred.
Disability and/or WSIB experience preferred.
Knowledge of YRP rules and regulations.
Problem solving abilities in order to prioritize a multitude of tasks from various members of the unit and deal with incoming inquiries from YRP members.
Communication and interpersonal skills to interact with YRP members, Region employees and external stakeholders (WSIB, Telehealth) to explain and exchange information and answer straightforward inquiries regarding Health & Ability related information.
Organizational and planning skills and ability to complete a multitude of tasks simultaneously.
Customer service skills and ability to deal with calls of a sensitive nature.
Quick response and judgement skills.
