Luxury Retail Administrative and Marketing Specialist

We’re looking for a **detail-oriented, highly organized, visually acute team member** to support our Vancouver showroom operations. This hybrid role combines **administrative, creative coordination, and occasional sales support** responsibilities to ensure all our systems, documentation, and client-facing materials meet the highest standards.

**Responsibilities**:
**1. Administrative & Operations Support (50%)**
- Maintain and update CRM system (client records, follow-ups, and leads).
- Track and follow up on customer orders, shipments, and logistics with suppliers.
- Archive and file all sales documentation meticulously.
- Handle general boutique administration, including basic invoicing (non-sale), data entry for accounting, managing office supplies, and preparing weekly performance reports for the Owner.
- Execute the Client Nurturing Protocol: Generate scheduled alerts and reports for the Sales Advisor to ensure timely follow-ups (e.g., 1-month, 1-year, holiday greetings).

**2. Creative Coordination & Marketing Execution (40%)**
- Visual Integrity (Crucial): Ensure all outbound communications, digital posts, and print materials strictly adhere to Hästens global brand guidelines.
- Manage the local social media content (photography, light copywriting, and scheduling).
- Execute direct outreach campaigns targeting local interior designers, architects, and high-net-worth individuals.
- Assist in executing local marketing initiatives and showroom events.

**3. Sales Support (0-10%)**
- Support the sales team in client communications and showroom presentations.
- Ensure proper quotes and invoices documentation, as well as follow-up correspondence.
- Ensure clients receive a premium, seamless Hästens experience from first visit to after sales experiences.

**Qualifications**:

- Minimum 1-2 years of administrative or marketing support experience (retail/luxury experience a plus).
- Strong organizational skills and attention to detail.
- Excellent communication and customer service skills.
- Proficient in CRM systems and Microsoft Office (or Google Workspace).
- Positive attitude, team-oriented, and eager to learn about luxury retail.

**Job Types**: Full-time, Permanent

**Additional pay**: Group Commission pay / Comprehensive benefits package.

**Schedule**: Tuesday to Saturday, 8-hour shift, 10AM-6PM, must be available on weekends.

**Ability to commute/relocate**: Vancouver, BC V6J 3H3: reliably commute or plan to relocate before starting work (required)
