**Co-op Coordinator**

Working within ILAC Higher Education’s Co-op and Career Services department, the Co-op Coordinator is responsible for ensuring that students have been prepared for the co-op and field placement parts of their program. This involves leading the co-op preparation course, facilitating workshops, meeting with students to discuss co-op options and matching to co-op opportunities, and supporting students through their independent search for co-ops.

Duties
- Oversee and facilitate co-op preparation courses and workshops to students preparing for co-op, including creating syllabi, course materials, resources, rubrics, reviewing resumes and assignments etc.
- Develop and update co-op approval documents
- Create and mark post-co-op assignments and upload grades to college grading software
- Meet with students individually and/or in groups to discuss potential co-op options opportunities and match students to co-op opportunity provided through the college
- Share management of and update Excel and Orbis database(s) and job board(s) with co-op, opportunities, record requirements for students and progress through hiring process
- Support Job Developer in assessing co-ops for approval by monitoring documents and contacting employers to ensure suitability
- Support Job Developer in contact industry employers for co-op opportunities
- Ensure students are following instructions and set timelines or deadlines
- Manage and update student tracker every semester with co-op information
- Liaise with Academics to monitor student eligibility for co-op and discuss options available to students on academic probation (eg. courses that can be carried out alongside co-op)
- Liaise with registration to confirm students are registered and eligible to participate in co-op
- Work with other departments and partner college departments to ensure students are added to correct courses
- Oversee co-op awards, including creating criteria, develop judging panel, organizing awards event and prizes
- Create post-co-op student survey and review results each semester and provide feedback to Director
- Monitor student welfare issues or injuries while on co-op, and supports with WSIB or insurance claims, and record information on internal database and provide updates or escalate to Director of Co-op and Career Services
- Liaise with fellow Co-op and Career Services members to discuss co-op hiring matters, employer needs, match students to advertised roles, and share performance feedback of students
- Provide updates to Director on any co-op student hardship matters or performance issues or students at risk of failing that require escalating
- Support Job Developer in assessing student performance either in person or remotely during co-op through midterm reviews with students and employers, and gather feedback from employers after completion of co-ops.
- Support Job Developer in mediating between employer(s) and student(s) if a conflict arises and find a suitable solution for all parties
- Support the training, setting of tasks, and supervision of external placement student(s) and student peer mentors within the department
- Support Co-op and Career services workshops, drop-in events, job fairs, and speed interview sessions, resume writing etc.
- Maintain a detailed record of student, employer/business, community organization interactions, and ensure students complete feedback surveys after attending workshops or individual meetings
- Write content for the department marketing brochures, Co-op and Career Services Blackboard course, and Co-op and Career Services section of the website, and ensure information is up to date
- Provide regular updates to Director and Quality Assurance to ensure Ministry guidelines and service agreement guidelines are followed, discuss required policy changes, share industry updates etc.
- Ensure department policies are followed and that deadlines and expectations are met
- Liaise with internal departments (Student Services, Faculty, Academics, Marketing, Admissions/Recruitment) as needed
- Performs other related duties as assigned by the Director and ad-hoc basis.

**Experience**

**Essential**:

- 1 or more years’ experience in academic advising, co-op coordinating, career advising, recruitment
- Experience in developing resources and facilitating workshops for young adults and adult learners
- Excellent communication, organizational, facilitation, presentation, and public speaking skills
- Multitasking experience in an environment with different deadlines for service users at different stages of their academic journey
- Experience in assessing employer and client needs to make an effective match
- Knowledge or experience of working with diverse job seekers (ie. International students)
- Previous work experience in managing and updating databases
- Working with college database management programs and co-op software such as Orbis or Simplicity
- Working knowledge of Microsoft
