**Position Title: Psychology Office Assistant**

**Hours**: 4 to 14 hours per week

**Wage**: $13.00 to $16.00 per hour

**Job Purpose**: To provide reception and administrative support to a private psychology practice.

Only those applicants who are selected for an interview will be contacted. This position will remain open until filled.

**Conditions of Employment**
Must be legally entitled to work in Canada
Must have a current and satisfactory Criminal Record Check
Must read, write, speak, and understand English
Must be physically able to perform the duties of the position, including, but not limited to: sitting at a desk for extended periods, using a computer and related office equipment, lifting up to 25 lbs
Must be available for work, at minimum, from 10:30am to 5:30pm, Tuesday and Thursday

**Equipment Used**: phone, photocopier, scanner, computer, and printer
**Software Used**: Microsoft Office, Owl Practice

Equipment and software provided by employer.

**Primary Responsibilities**:

- Reception_
Greet and orient clients
Check and relay phone messages
Schedule appointments using practice management software
Process in person or online payments and issue receipts using practice management software
- Administrative Support_
Create and maintain electronic client health records
Enter client contact and health information into practice management software
Scan clinical documents into client file using practice management software
Manage client contact and health information in line with Personal Health Information Act (PHIA)
Process payments
Maintain financial records
Invoice clients and third party payers, including MTS, HEB, Canada Life, Medavie, Blue Cross, VAC, CAF
Manage office inventory, office purchases, and bill payments for the practice
Other photocopying, scanning, and faxing, as required

**Other Responsibilities**
Collect and distribute office mail
Receive courier packages and deliveries on behalf of the practice
Maintain office inventory
Housekeeping duties, which can include sweeping, vacuuming, mopping, emptying garbage, washing inside windows, cleaning boardroom and dishes after use, as well generally maintaining clinical spaces and reception area
Maintain clinic property, including taking garbage and recycling bins out and returning them, in line with the City’s garbage collection schedule
Monthly or quarterly utility readings for clinic property
Remain current with clinic policies and procedures
Orient and train other staff, as required
Other duties in support of the practice, as required

**Qualifications**

Ability to maintain confidentiality
Excellent verbal and written communication skills
Effective interpersonal skills for interacting with clients and staff
Strong organizational skills
Ability to prioritize and complete tasks in a context with multiple demands

Completion of a post-secondary program in administrative support, or
Previous experience as a medical assistant or receptionist in a health care setting
Awareness and understanding of mental health, including issues of gender and cultural diversity
Previous experience with practice management software
Previous experience with direct billing of insurance companies for psychological services
Experience working in compliance with PHIA

**Job Type**: Part-time
Part-time hours: 14 per week

**Salary**: $13.00-$16.00 per hour
