The Office/Administrative Assistant is a full
- time position in office only. The Office/Administrative Assistant will be responsible for data entry, invoicing, payables, maintaining project files and general administrative support to the General Manager, Project Managers and Human Resources Manager of J 1 S Electrical Services. The Office/Administrative Assistant will keep data entry up to date, maintain an organized work flow and coordinate payroll entry and other duties as assigned to facilitate the day-to-day work of the office team. Experience with Microsoft Office is essential with a solid understanding of excel, knowledge of Payworks, Sage, SiteDocs and Asset Panda is an asset. The Office/Administrative Assistant will play a key role in the smooth operations of the business and will work closely with the General Manager, Electrical Purchaser and Project Managers. Position includes benefits and pension.

When considering this position please note that the business will be relocating to the Grande Pointe area with no public transit

**Roles and Responsibilities**:

- Responsible for entering employee hours, matching hours with jobs, and matching receipts with jobs
- Receive and manage all invoicing and payables for all jobs including monthly project invoicing
- Responsible for calculating employee hours and benefits
- Match and enter employee credit card expenses
- Responsible for submitting Certificate of Insurance and Workers Compensation Board documentation and Statutory Declarations as required
- Organize and keep all filing up to date
- Send job quoting in an efficient and professional manner as instructed by the Electrical Purchaser or General Manager
- Assist electricians with requests including the preparation and printing of panel directories as required
- Maintain weekly schedule of job sites and assist the social media coordinator with the collection of photos for use on social media, advertising and website
- Other duties as assigned

**Experience and Education**:

- Post-secondary education or certificate in the administrative or secretarial field and/or experience providing administrative and secretarial support
- Completion of CSAM Construction Education to facilitate a COR audit an asset but not required
- Experience with Microsoft Office (Word, Excel, Outlook) and Adobe
- Experience with Payworks, Sage, SiteDocs, and Asset Panda is an asset
- Experience handling confidential and/or sensitive information in a professional manner
- Experience maintaining filing systems
- Organizational and time management skills with the ability to establish priorities and meet deadlines in a fast-paced environment
- Excellent written and verbal communication skills are integral to role
- Must have good interpersonal skills and able to work independently and as part of a team
- Working knowledge and experience in the electrical industry is an asset

**Condition of Employment**:

- Must be legally eligible to work in Canada

**Salary**: $18.00-$20.00 per hour
