Objective:
This is an all-encompassing position ideal for someone who feels good in a dynamic environment. The Office & Facilities Coordinator enthusiastically takes care of all of the little things that keep a business going. You will be primarily responsible for managing the facility and support managers in the day-to-day operations to ensure the safety of the staff. You possess a sense of urgency and can juggle changing priorities as needed, and you take pride in your work with keen attention to detail. When you see something that needs to be done, you take the initiative. You enjoy maintaining a pristine working environment for the well-being of all your coworkers.

Job Summary:
Health and Safety:

- Act as the first point of contact for all Health and Safety requirements in our Montreal office, coordinating with management and corporate groups as required.
- Monitor, track, and document compliance requirements, training completion, forms, and reports relevant to company health and safety programs and services.
- Schedule and coordinate monthly Joint Health & Safety Committee meeting and participate as an employee representative.
- Conduct monthly site inspections, risk assessments and safety compliance audits, updating reports, and escalating potential issues as they arise.
- Track and maintain site inspections database, driving implementation of safety procedures in partnership.
- Knowledge of Workplace Hazardous Materials Information System (WHMIS) and track WHMIS training records and keep _Safety Data Sheets_ up to date.
- Collaborate closely with Human Resources, Corporate Environment, Health and Safety, and Management to ensure compliance with local, provincial and federal regulations and policies.
- Coordinate ergonomic assessments across Montreal and Ottawa offices.

Facility coordination and management:

- Coordinate the maintenance and repair of office facilities including but not limited to:

- liaising with the office landlord, managing contractors and vendor relationships, and guiding maintenance staff.
- Coordinate office space planning, office moves, and renovation projects, in consultation with management and/or Facilities management across our division.
- Ensure facilities projects are completed on time and within the allocated budget.
- Perform regular facility assessments to identify needs and implement solutions.
- Work closely as key Teledyne liaison with outside contractors and service personnel to ensure any work being performed conforms to Teledyne standards and requirements
- Ensure that all seasonal maintenance is arranged and performed on a timely and efficient basis.
- Plan and manage all phases of office moves, including communication with staff, coordination of packing, equipment or furniture moves, and liaising with IT / other groups as needed.
- Assist with organizing occasional facilities events and special functions such as employee events and client visits, providing support, planning and/or cleaning measures as required.

Office Management:

- Manage building security system, including coordination of keying system and distribution of access cards to employees.
- Complete visitor screening as related to Trade Compliance as required.
- Greet office visitors, manage visitor security badges and maintain the visitors’ logbook, in accordance with company procedures.
- Provide administrative support to management team and assist with various ad hoc requests such as:

- arranging luncheons, procuring, and restocking office supplies, snacks and beverages; notifying staff of customer visits, ordering business cards as needed, etc.

**Requirements**:

- Post secondary education or equivalent;
- 3-5 years of relevant experience in Occupational Health and Safety, Facilities Management, and/or office coordination
- Excellent oral and written communication skills in French/English
- Detail oriented and works with a high degree of accuracy.
- Highly organized, flexible, and able to manage multiple priorities.
- Must be self-directed and able to complete projects with limited supervision.
- Proficiency with Microsoft Outlook and proficient with other Microsoft Office tools (in particular Excel) as well as the aptitude to learn other software.
