**Role Overview**:
As the Office & Facilities Specialist, you’ll play a pivotal role in ensuring that our workspace reflects and supports our vibrant culture. You’ll be responsible for managing all aspects of our office environment, from the seating plan to maintenance, cleanliness, improvements, and even branding initiatives. Additionally, you'll participate to various other areas to enhance employee experience and operational efficiency.
**Key Responsibilities**:
- Space planning & expansion; assess current and future space needs and develop plans for office layout, expansion, or relocation to accommodate growth and changes in business requirements. Coordinate with architects, designers, and contractors to execute space planning projects effectively and efficiently.- Facilities maintenance; oversee the day-to-day maintenance of our office space, including HVAC systems, lighting, plumbing, and other essential facilities to ensure a safe and comfortable working environment.- Cleaning & sanitation; coordinate with cleaning staff or services to uphold high standards of cleanliness and sanitation throughout the office, including common areas, meeting rooms, and restrooms.- Space improvement; identify opportunities for enhancing the functionality and aesthetics of our workspace. Propose and implement improvements to furniture, layout, décor, and amenities to elevate the overall employee experience.- Seating plan management; design and maintain an optimized seating plan that promotes collaboration, communication, and synergy among team members.- Branding initiatives; collaborate with the marketing and design teams to infuse our brand identity into the physical space. Implement creative branding elements, such as signage, artwork, and decor, to reinforce our company culture and values.- Sustainability & environmental initiatives; develop and implement initiatives to promote sustainability and reduce the company's environmental footprint, such as recycling programs, energy-efficient practices, and eco-friendly office supplies. Stay informed about best practices and emerging trends in sustainability and incorporate them into the company's operations.
- Emergency preparedness; develop and maintain emergency preparedness plans and protocols to ensure the safety and well-being of employees during emergencies or disasters. Conduct regular drills and training sessions to educate employees about emergency procedures and protocols.

**Qualifications**:
- Proven experience in office management, facilities management, or a related field.- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.- Excellent communication and interpersonal skills, with a collaborative, friendly and approachable demeanor.- Creativity and innovation in designing and enhancing office spaces.- Knowledge of health and safety regulations and compliance standards.- Proficiency in budget management and vendor negotiations.- A passion for fostering a positive and inclusive company culture.
- Bilingual in French and English ( A good French is essential)
