**Fire Protection Customer Service & Sales Coordinator**

**Summary**
The **Customer Service & Sales Coordinator** is responsible for coordinating customer requests, preparing documentation, and supporting the sales and service departments. This role focuses on client communication, scheduling support, and ensuring that all service-related documentation and reports are accurate, complete, and compliant. The position plays a key role in maintaining strong customer relationships and smooth administrative operations within the service department.

**Key Responsibilities**

**Customer Coordination**:

- Provide clients with updates on service schedules, inspection timelines, and documentation status.
- Address customer inquiries and concerns promptly and professionally.
- Support sales staff with quotes, proposals, and follow-ups to ensure timely communication with clients.

**Administrative & Documentation Support**:

- Prepare, organize, and distribute service and inspection documentation (e.g., reports, certifications, and compliance records).
- Maintain accurate records of customer accounts, work orders, and project documentation.
- Track job progress, paperwork completion, and outstanding client requirements.
- Coordinate with vendors and suppliers to ensure parts and materials are available for upcoming jobs.

**Scheduling Assistance**:

- Support the service manager in maintaining an organized service calendar.
- Ensure all client appointments are confirmed and properly documented.
- Communicate schedule details to clients as directed by the service manager.

**Compliance & Reporting**:

- Ensure all service records meet company and regulatory compliance standards.
- Assist with preparation for audits, inspections, and certification renewals.
- Maintain organized digital and physical filing systems for quick document retrieval.

**Qualifications**

**Education**:

- High school diploma or equivalent (required).
- Additional training or coursework in business administration or customer service (preferred).

**Experience**:

- 1-2 years of experience in customer service, scheduling, or administrative coordination.
- Experience in fire protection, construction, or building services is an asset.

**Skills**:

- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and scheduling or CRM software.
- Detail-oriented with strong follow-up and documentation accuracy.

**Work Environment**
- Occasional after-hours follow-up may be required for urgent client requests.
