Reporting to the Equipment Manager, the Fleet Administrator is accountable to complete all fleet administrative processes and ensures that they are completed in a timely manner with records maintained for the Equipment Management Team. In addition, the incumbent will respond to ongoing vehicle/driver needs from operations on a continual basis.

This position is based in Edmonton, AB.

**Responsibilities**:
Fleet Management- Works extensively with third party Fleet Management Company (FMC) in the administration of Bird’s Fleet Program.- Engages third party Fleet Management Company (FMC) and drivers to resolve issues as they arise.- Collaborates with Finance/SCM/Operations in disposal of used vehicles and equipment to obtain best value for the company.- Assists the equipment management team in maintaining fleet logs or database including vehicle mileages and fleet cards (tracking, distribution and cancelling).- Tracks maintenance and inspection records for all company fleet.- Ensures the registration and licensing are current and distributed within each unit.- Assists with the documentation and maintenance of National Safety Code (NSC) assigned Fleet and ongoing compliance.- Manages GPS system including inputs, reporting, setups, maintenance and minor user support.- Coordinates and monitors vehicle transfers between branches, locations and divisions.- Provides support in managing insurance claims and out of service scenarios.

Documentation and Communication- Assists in preparation of Fleet related policies, procedures and processes.- Prepares reports and communications for distribution to management.- Maintains and prepares reports for training materials, manuals and electronic files.- SharePoint maintenance of Asset related Fleet inputs.- Data entry and filing.- Other duties as assigned by the manager.

What We Are Looking For- 3+ years' of experience in an Administrative position- Knowledge of personnel policies and procedures and willingness to comply with company policies for privacy and confidentiality, applicable laws and regulations- Possess strong interpersonal skills including tact, diplomacy and flexibility to work effectively with all levels and personalities within the organization- Demonstrate excellent written and oral communication with the ability to problem solve, and have ingenuity to coordinate problem resolution and execute requirements in team environments- Effective and efficient problem solving and decision-making skills; thoughtful, proactive and creative- Demonstrates a sense of urgency and strong commitment to achieving goals; ability to work in a challenging, fast-paced environment- Ability to forge, grow and maintain positive relationships with multiple groups- Able to manage multiple priorities simultaneously and meet the time demands of unpredictable activities, capable of handling pressure and challenges in a dynamic business environment- Ability to work within tight deadlines and prioritization of work to achieve them- Strong analytical, critical thinking, problem-solving skills, and a high degree of accuracy and attention to detail- Advanced experience in Microsoft Office and internet based web access- SAP/Viewpoint experience would be considered an asset- Valid driver’s license
