The ministry of Justice leads a fair and innovative justice system, ensures effective policing, and supports victims of crime.
Court and Justice Services provide a range of resolution and Court supports for people involved in legal disputes.
Court Technology Services provides Information Technology support to Court and Justice Services and to Alberta’s Judiciary.
**Role Responsibilities**:
As Business Coordinator, you will be responsible for the delivery of administrative services to ensure the administrative, personnel and operational requirements support the business operations of Court Technology Services (CTS).
Your responsibilities will include but not limited to:
- Provides Executive Assistant support and services to the Executive Director and the Directors of CTS. Arranges meetings, manages calendars and schedules.
- This position is the Workplace Administrator (WPA) for the department and administers several 1GX and electronic processes on behalf of the Executive Director and Directors. For example, processing staffing requests.
- Comprehensive activities associated with the implementation of, and compliance with, approved operational policies and procedures which include the personnel, manpower and operating budget, expense claim review, along with support for financial processing and reporting within the program area.
- Administration of staff support functions including pay and benefits services to a portfolio of salary and wage employees belonging to the management, bargaining unit, and opted out classifications.
- Tracks all CTS staff vacations and absences and reviews time sheets; providing the ministry with any information that is requested or required.
- Assists staff in maintaining records of entitlements. Provides guidance and assistance to all Court Technology Services staff in PSC policies and procedures.
- Audits and tracks the necessary documentation for all staff, including accurate monthly reporting of time deviations, overtime, staff development and attendance reports.
- Develops Executive Communications with briefing notes and letters, along with a wide variety of administrative documents and reports.
- Establishes and maintains an accurate and detailed filing system (both electronic and paper systems). Collects and obtains signatures for approvals.
- Ensures files are tracked and brought forward on a timely basis.
- Attend meetings as requested to record, produce, and distribute accurate meeting minutes.
- Receives visitors. Screens telephone calls, determines the nature of the call and either responds directly or forwards to the appropriate individual.
- Provide administration of all telecommunications services (desk and mobile) including procurement and relocation

- Strong organizational and time management skills to balance multiple priorities and tasks assigned by managers.
- Ability to complete work assignments using established guidelines.
- Problem solving skills using sound judgment (analytical and conceptual skills).

**Qualifications**:
**Required**:
- A high school diploma and four years of related experience is required.
- Superior writing, organization, interpersonal, and communication skills are required.
**Preference will be given to those with the following**:
- Experience working as Assistant to Director, Executive Assistant is asset.
- Experience working as a department 1GX Workplace Administrator (WPA)
- Experience providing administrative support to an executive office.
- Certification or training in M365, Office and Microsoft Teams
- Experience performing records management and budget management.
- Experience drafting correspondence. Experience with event coordination.**Equivalencies will be considered on the basis of**:
- one year of directly related experience for one year of education or one year of education for one year of experience.
