**Job Description**:
***: Under the general supervision of the Manager - Corporate Safety, supports the Corporate Safety section through training coordination, administers the Hearing Assessment program, and performs administrative, research and statistical duties.
**MAJOR RESPONSIBILITIES**:
- Assists with safety training coordination such as booking rooms, allocating of costs to departments and entering training records.
- Updates and edits the Corporate Safety section of Inside CTB.
- Administers the Hearing Assessment program as part of the Hearing Conservation program, through the scheduling and administering of hearing assessment tests.
- Coordinates First Aid and Corporate Safety training as required; enters training courses and participant information into database, and prepares training record reports.
- Conducts research as assigned and prepares statistical reports.
- Assists the WSIB Claims Analyst in filing and processing claims; provides support and back-up to the WSIB Claims Analyst as required.
- Assists with the administration of Safety Management System (SMS) software and supports the SMS program.
- Maintains Parklane Online Injury Reporting distribution list and assists Supervisors in completion of reports as required.
- Processes payables, receivables, and journal entries and maintains petty cash and the budget, as required.
- Schedules, prepares, distributes and assembles materials for safety related meetings; attends, records, and distributes meeting minutes.
- Provides confidential administrative support, including but not limited to, scanning, typing reports, memos, and letters, proofreading and editing, photocopying, processing forms, maintaining files and databases, etc.
- Maintains and updates records management and the archiving process for Corporate Safety.
- Performs such other duties as may be assigned.
**QUALIFICATIONS**:
**Education/Experience**:
- Diploma in business administration, Occupational Health and Safety or a related field and one to three years’ of experience related to the major responsibilities; or
- Certificate in general office administration or Occupational Health and Safety and two to three years of experience related to the major responsibilities
**Skills/Abilities**:
- Ability to deliver presentations to a variety of audiences
- Ability to communicate effectively and concisely, both orally and in writing
- Superior customer service skills and the ability to deal with the public and staff in a courteous and tactful manner
- Ability to exercise judgement when dealing with confidential or sensitive issues
- Ability to analyze, problem-solve and make required decisions
- Self-starter with proven organizational and time management skills
- Ability to work well under pressure and deadlines in a fast-paced environment
- Ability to work independently and as part of a team
- Must be at an intermediate skill level in word processing and spreadsheet software
- Competent within the meaning of the Occupational Health & Safety Act
**Assets**:
- Knowledge of WSIB claims management and procedures and the ISO 45001 standard
- Experience with SAP, Parklane and presentation software
- Knowledge of structure and functions of City Departments, outside boards and local community groups
**CONDITIONS OF EMPLOYMENT**:
- Must undergo a successful Criminal Record and Judicial Matters Check (CRJMC)
- Will be required to travel to various work locations and provide own transportation
