**Position Purpose and Summary**
The Executive Assistant (EA) provides executive administrative in-person services to the Office of the President. The dedicated and highly organized EA represents the Office of the President in a professional manner to both internal and external constituencies and contributes to the efficient running of the President's office with an authoritative, yet calm and friendly demeanor. This person works effectively under pressure, managing multiple tasks and meeting tight deadlines, prioritizes and manages workload in a fast-paced environment.
**Key Areas of Accountability**
- Administrative Support:
- Provide superior, confidential, comprehensive administrative services for the Office of the President.
- Schedule meetings and events as required.
- Manage an overall welcoming, efficient and fully confidential office.
- Support other Executive Leadership Team members as directed.
- Manage monthly purchase and reimbursement reports as well as invoice payments, mileage and expense reimbursements for the Office of the President.
- Coordinate travel and conference registration for the Office of the President
- Coordinate catering for the Office of the President.
- Coordinate the TWU Fellows program by assisting with on and offboarding, Murdock events/retreats and tuition transfers.
- Maintain data management sites (Website, SharePoint, etc)
- Maintain meeting rooms and common spaces on Reimer second floor.
- Maintain copiers and coffee supplies on Reimer second floor.
- Project Management
- Initiate, coordinate and maintain the administrative systems and procedures for the Office of the President (including filing, ordering supplies, record keeping and maintaining a current job manual).
- Support the implementation of new processes and systems to enhance department efficiency.
- Coordinate and maintain the use of the Presidential Guest suite on campus.
- Conduct research, proofread, draft reports and presentations for special projects as needed.
- Assist the Office of President with the coordination and preparation of special events such as Board of Governors meetings, donor events and Academic Ceremonies.
- External Relations
- Act as the point of first contact for the Office of the President. Interact in a warm, positive, gracious and professional manner with visitors, staff, faculty, and students.
- Create and maintain strong working relationships with the Executive Leadership Team and others who report to the President, other department heads, media representatives, community members and others as needed.

- Serve as an active team member, assisting members of the Office of the President with projects and other duties as required to meet the flexible requirements of the office.

- Demonstrated ability to work independently and confidently in a busy, professional work environment with diligence, timeliness, trustworthiness, wisdom, confidentially and discretion.
- A motivated self-starter with highly developed interpersonal skills who communicates with diplomacy, discretion, tact, and confidentiality with all internal and external contacts, including a wide range of personalities, positions, and nationalities.
- High level of professionalism and attention to detail.
- Highly capable and skilled in planning, organizing, prioritizing, and implementing a large volume of work that meets the required timelines and deadlines.
- Able to be present in the office daily, this is not a remote position.
- Excellent written and verbal communication skills.
- Skilled in the full range of MS Office software products particularly Word, Excel and PowerPoint.
