Reporting to the Associate Registrar, Curriculum, Scheduling & Registration, the Assistant Registrar, Curriculum & Scheduling provides leadership in the improvement of academic space usage, scheduling and curriculum processes and systems, and coordinates the scheduling of credit courses and final examinations. The Assistant Registrar, Curriculum & Scheduling builds and maintains strong collegial relationships with both academic and non-academic units as well as with external systems vendors and support services. Other responsibilities include the production of statistical reports for the University community and production of data required for government reporting as well as the supervision of Curriculum & Scheduling support staff.
**Summary of Responsibilities**:
- Participate in departmental planning in support of the University’s strategic plan and the Office of the Registrar’s goals and objectives
- Determine and supervise collection of all data required for course scheduling
- Supervise the production of accurate, efficient and timely course, examination, and critique schedules
- Ensure proper functioning of the course scheduling system and related modules (including room booking systems), by monitoring system output, investigating problems and determining solutions
- Research, plan and oversee implementation of enhancements to the course scheduling system and related modules
- Maintain and audit the accuracy of curriculum records in the Student Information System
- Write end-user documentation and train system users
- Liaise with and provide leadership to other academic and administrative units with respect to space usage, scheduling and curricular requirements
- Analyze and evaluate academic space usage and make appropriate recommendations for changes to current space as well as for future space needs and development; resolve disputes regarding space allocation
- Prepare statistical reports for internal and external use with respect to optimizing scheduling and space usage
- Participate on relevant University committees, professional associations and external networks, as required
- Supervise Scheduling support staff, including monitoring progress, evaluating performance, coaching, aiding in goal setting and supporting professional development
- Maintain thorough knowledge and understanding of relevant University regulations, policies, procedures and confidentiality requirements
- Maintain thorough knowledge of government standards and reporting requirements relating to academic space allocation and use
- Maintain current knowledge and understanding of provincial and federal legislation (e.g. Freedom of Information and Protection of Privacy Act (FIPPA)) as it applies to a registrarial context
- Assist the Associate Registrar, Curriculum, Scheduling & Registration in other related tasks that contribute to the successful operation of the Office of the Registrar
**Qualifications**:
- Post-secondary degree, or equivalent
- Minimum of five (5) years of related and progressive work experience in a post-secondary educational environment, including a minimum of three (3) years in a supervisory role
- Demonstrated experience with automated scheduling and room booking systems, preferably Infosilem
- Demonstrated experience with student information systems, preferably Colleague
- Excellent understanding of scheduling systems from a functional perspective
- Knowledge of university regulations, policies and procedures within a registrarial context
- Excellent organizational, analytical and planning skills, including project management
- Strong leadership skills with a proven track record of supervision in a team environment
- Strong interpersonal skills and excellent oral and written communication skills with the ability to exercise tact, good judgement and diplomacy
- Proven conflict resolution skills
- Demonstrated attention to detail, and the ability to meet strict deadlines and work effectively under pressure of high volume and constantly changing priorities
- Demonstrated ability to work both independently and participate collaboratively in a team environment
- Demonstrated commitment to the principles of equity and diversity, and experience promoting a respectful work and learning environment for students, staff and faculty
**Compensation**:OPSEU Unit 1, Appendix B, Grade B2; $36.77 to $48.33 per hour
**Hours of Work**:Monday to Friday, for a total of 35 hours per week. This is a temporary contract expected to begin May 5th, 2025 and continue until May 1st, 2026.
