Our offices are conveniently located just steps from transit at Davisville subway station in midtown Toronto. The Executive Assistant will be expected to work onsite approximately two days per week based on operational requirements. As Executive Assistant to the Registrar & CEO , you’ll provide high-level administrative and governance support, ensuring the Registrar can focus on strategic priorities. This role goes beyond traditional administrative duties—you’ll establish best practices , streamline processes, and act as a trusted liaison with the Senior Leadership Team. You’ll anticipate needs, manage complex schedules, and ensure timely delivery of critical materials for executive and governance functions. Executive Support Manage the Registrar’s calendar—schedule, prioritize, and coordinate meetings, conferences, and travel. Prepare agendas and briefing materials, ensuring all documentation is ready well ahead of deadlines. Monitor priorities and anticipate needs to keep the Registrar ahead of commitments. Coordinate logistics for onsite, virtual, and hybrid meetings—venue set up, catering, and technology. Liaise with the Senior Leadership Team to ensure timely delivery of key submissions and materials. Post-secondary diploma or degree in Office/Business Administration (or equivalent experience). ~5+ years providing executive-level administrative support. ~ Advanced proficiency in Microsoft Office Suite, Teams, and Zoom; Proactive, resourceful, and forward-thinking—you don’t just react, you anticipate. This is a brand-new position , giving you the chance to set the standard for excellence in executive support. You’ll work closely with senior leadership, gain insight into strategic decision-making, and help drive operational efficiency across the organization.
