**Description**
The Registrar is responsible for the academic record of all students, and will act as their academic advisor. You will be the main point of contact between the students and the school, including most written communications. You will also assist with student-focused events such as our orientation and with activities related to Ministry compliance.
Duties to include:
Academic administration
Academic support and advice for students
Student contracts
Instructor Onboarding
Support for financial officer
Scheduling
Student communications
Help with Ministry requirements
Other office support as needed
**Schedule A - List of the Employee’s Expected Responsibilities and Duties**
**Academic Administration**
- Create student cards
- Maintain academic record of all students (active and inactive) and ensure all privacy requirements are met
- Ensure attendance, grades and other evaluations are submitted on time and correctly
- Provide student services such as TTC letters, confirmation of enrollment, transcripts, etc.
- Handling any resulting clerical tasks e.g. photocopying, filing, etc.
- Managing mid-program evaluations
**Academic Advisor**
- Act as Academic Advisor (e.g. ensure students know about and understand their registrations, meetings with students experiencing difficulties, monitor academic probation, etc.)
- Help with the administration of attendance-related and other academic warnings to students
- Work with Instructors to capture students with Low Pass / Repeat grades
- Document and file any Incident reports
- Counsel students leaving the school whether through withdrawal, counselling out or expulsion
- Document and file any necessary resulting paperwork
**Accommodations**
- Initial Accommodation Meeting (with Student Support)
- Work with Student Support to develop, plan and implement Accommodation plans
- Input of plans into CampusLogin
- Scheduling of Reduced Load (RL) students
- Ensure instructors are fully informed as needed
- Any necessary Ministry administration (e.g. creating addendums for RL students)
- Student Support is responsible for regular meetings with Accommodation students and will inform Registrar of any necessary information i.e. if changes to plans are needed, academic counselling might be needed, etc.
**Student Contracts**
- Create student contracts (contracts are distributed by Admissions)
- Ensure student contracts are kept up-to-date with Ministry requirements
- Ensure student policies are kept up-to-date on the website
**Instructor Contracts**
- Assist Director of Administration with Instructor contracts and reference checks (including IQF, resume, reference letters, supporting documentation)
**Scheduling**
- Scheduling (in consultation with Program Coordinators and Co-Directors) including communications with instructors
- Keep records of all classes and curriculum prerequisites
**Communications**
- Main point of contact for student and some instructor communications
- Student and instructor communications including regular communications (scheduling, orientation, etc.), emergency communications (school closures, cancelled classes, etc.). and special event communications (speakers, workshops, etc.)
**Graduation**
- Determine student graduation eligibility and ensure they will meet their requirements
- Prepare and print diplomas
**Assisting Financial Officer**
- Collect tuition and fees
- Ensuring signed cheques are prepared for mailing
- Filing student financial paperwork
- Assist in February with student-related tax matters (scholarships)
**Assisting with Ministry Requirements**
- Assist with college re-registration (PARIS system - secondary user)
- Assist with KPI audits
**Other Support**
- Assist with the planning of student events such as orientation, graduation and our industry night
- Work with Scholarship Committee to determine and communicate student scholarships
- Regular meetings with coordinators
- General office duties as needed
**Compensation: $20.00 to $25.00/hour**
**Qualifications**:
- Excellent command of the English language, Mandarin is an asset
- A minimum two-year diploma in such areas as Office or Business Administration, Business or a related field.
- 2 + years of client services experience, preferably in the international education sector
- Commitment to providing a high level of student service internally and externally
- Enthusiastic, energetic and excellent communication, presentation and interpersonal skills
- Excellent organizational skills and the ability to meet deadlines
- Experience working with international students
**Job Type**: Part-time
**Salary**: $20.00-$25.00 per hour
