**Responsibilities**:
PRIMARY PURPOSE

In pursuit of making the region a better place to live for everyone, built on transportation excellence, coordinates, facilitates and administratively supports Planning programs/projects.

KEY ACCOUNTABILITIES

Provides support on planning projects, including facilitating planning project activities, coordinating on work direction, facilitating and tracking document flow and project plans, participating in monitoring the achievement of milestones /deliverables, ensuring service and quality standards, budgets and project deliverables are in compliance with the project goals and objectives.

Compiles and tracks project and program budgets and expenditures, including assisting in redistributing and correcting budgets; coordinating to Finance for errors; assisting in the development of various capital processes. Reviews monthly variance report and prepares information for justification statements and reports on budget and variances as requested. Supports the annual project and/or divisional fiscal year end processes as requested.

Maintains and updates project reporting systems, including dashboards, metrics, measurements to support and monitor the design and delivery of the projects. Prepares information for regular and ad hoc reports for management and stakeholders on the project status. Collects and analyzes data for project progress and performance according to the defined standards and measurements. Highlights critical issues for management and project managers according to defined policies, procedures, standards and guidelines.

Facilitates and coordinates bookings, agendas and logistics for meetings and workshops. Coordinates, attends and participates in project-related meetings taking notes and preparing minutes as requested; including Steering Committee level meetings.

Coordinates and compiles information for internal and external correspondence, drafts, edits, public information materials, newsletters, websites, open houses, etc., and proofreads various documents. Prepares reports and delivers presentations to internal project teams when requested. Maintains appropriate confidentiality.

Coordinates information sharing with stakeholders and serves as a liaison to keep all parties updated appropriately throughout the project; communicates project progress updates to project managers and others as assigned. Collects information and feedback from external stakeholders and provide information as required.

Identifies opportunities to integrate understanding of the lived experience and transportation needs of people and businesses in Metro Vancouver, and especially of disadvantaged and marginalized groups in plans/projects.

**Qualifications**:
Typically requires 3 years of related experience and completion of a Certificate or Diploma in Business Management, Planning or a related field of study.

OTHER REQUIREMENTS:
Working knowledge of project management standards and practice.

Good interpersonal skills to build and maintain relationships with multiple internal and external stakeholders.

Good verbal and written communication skills.

Good analytical thinking and problem-solving skills, to resolve issues of lower impact, risk, and complexity.

Solid technical skills in Microsoft Office software including Excel, PowerPoint and other project management tools.

Solid time management skills to balance and coordinate effort across multiple, concurrent activities and manage priorities to meet tight deadlines.

Working knowledge of transportation planning and practices is an asset.

Some formal project management training is an asset.

Sound knowledge of plans, products, roles and responsibilities of government agencies is an asset.
