**Responsibilities**:
PRIMARY PURPOSE
Coordinates and facilitates the initiation and completion of a wide variety of project-based activities and deliverables for the Director of Fleet Technical Support including the following activities: meeting management, project team communications, status reporting, onboarding activities, offboarding activities, document control (all document types including confidential), and other activities and tasks as required for the project in hand.
KEY ACCOUNTABILITIES
Assists project managers and directors with administrative duties such as facilitating and tracking confidential document and information flow for the project and project committees, monitoring, and maintaining project plans and action items, tracking lists, and other project related documents and confidential data; prepares internal and external correspondence; drafts, edits, and proofreads various documents; is responsible for bookings, agendas and logistics for meetings and workshops.
Initiates, coordinates, attends and participates in project-related meetings taking notes and preparing minutes as requested; recommends courses of action to assist projects to adhere to goals, objectives, and deadlines; participates in confidential discussions on project issues and recommends solutions to address budget, scheduling, methodology, and other issues; provides input for changes in departmental and project coordination procedures, processes, and policies based on best practices research; reports on status and progress of outstanding project issues
Coordinates confidential information sharing between stakeholders and serves as a liaison for both internal and external communications to keep the parties updated during the scope of the project; monitors and maintains project plans, tracking lists, participates in the development, monitoring, and administration of project budgets, communicates project progress updates to the Director, project managers and others as assigned; works with project managers to monitor and coordinate compliance with schedules and processes.
Writes reports on project items as required. Manages project related document storage systems and databases for FTS.
Provides coverage for Fleet Maintenance CA when required. Liaises with executives and Board members as required.
**Qualifications**:
EDUCATION AND EXPERIENCE:
The competencies for this position would be acquired through successful completion of a Certificate or Diploma in Business, plus three (3) years’ experience in a project environment.
OTHER REQUIREMENTS:
Working knowledge of project management standards and practice is an asset.
Working knowledge of vehicle maintenance planning and practices is an asset.
Strong verbal and written communication skills.
Strong analytical and problem-solving skills needed to address complex, sometimes conflicting issues.
Excellent organization and time management skills to plan, organize and manage priorities to meet tight deadlines.
**Other Information**:
Recruitment Process: An applicant will be required to demonstrate their suitability for this position by meeting the minimum level of qualifications and experience in order to be invited into the selection process. A standard interview format will be used including general, scenario and behavioural descriptive interview questions.
**Work Schedule**:
37.5 hours per week.
This is a full-time, temporary position for 18 months.
**Work Designation**:
Hybrid
This position offers the flexibility of working both on-site and remotely within B.C.
**Rate of Pay**:
Salary $65,993 - $82,492 per annum (Actual salary offered will be commensurate with education, experience, and internal parity).
