In Family Office Services (FOS), we act as personal CFO’s for high-net-worth families. We offer a customized approach for each family, which includes services such as cash management, lifestyle management, integrated financial planning opportunities as well as day-to-day accounting and compliance needs.
**Position overview**:
Our Montreal office is looking for a Junior Administrative Assistant to join the Family Office Services group and own the following responsibilities:
- Provide workflow support to a team of senior professionals and staff.
- Type and format correspondence, reports, presentations or other documents, including correction of grammar, spelling and punctuation.
- Prepare electronic signature packages to be sent to clients
- Perform administrative tasks related to the department's operations such as research, coordination of special events, updating documents, and filing.
- Manage calendar for partners and book meetings for senior professionals and staff
- Respond to internal and external requests for assistance, directing inquiries as appropriate
- Assist in the preparation of regularly scheduled reports
- Assist in the billing function for the team
- Organize and maintain electronic filing system and acts as key contact for records management
- Create, maintain and update spreadsheets
- Help in the creation of presentations
- Record minutes at various meetings and distribute or archive them accordingly
- Manage and coordinate multiple calendars
- Maintain electronic and paper filing systems
- Ensure proactive and efficient communication with partners and managers;
- Responsible for all other administrative tasks as required
**Qualifications**:
- Bilingual with strong writing skills in both English and French
- Post-secondary education in administration or similar relevant work experience is a must-have.
- Quick learner of new and evolving software/systems.
- Strong typing skills (speed and accuracy)
- Organizational skills, detail-oriented personality and an ability to prioritize work in order to meet deadlines
- Ability to work independently with mínimal supervision and with frequent interruptions.
- Must be able to work efficiently in a team environment with a positive and collaborative attitude
- Must be able to demonstrate initiative and proactivity. Accountable for the quality and timely completion of work assigned.
- Flexibility to work overtime when required.
- Advanced knowledge in the Microsoft Office suite with an expertise in Excel and Powerpoint
- SharePoint knowledge is an asset
