**Job Summary**
Reporting to the Project Coordinator Team Lead, the Project Support Admin is responsible to ensure that office operations are maintained on a daily basis through reception duties. In addition, this role will provide Project Managers support through maintaining documentation and assisting with project completion requirements. This position requires extensive customer service, data entry and administrative support skills.
**Responsibilities**:
**Daily**
- Gather mail and packages and deliver them
- Book travel and hotels as required
- Assist in the preparation of Completion reports.
- Update tracking sheets as required.
- Maintain documents physically and electronically.
**Weekly**
- Maintaining board rooms and other meeting areas
- Attend meetings as needed to provide support for dictation and note taking
- Transfer data onto estimate spreadsheet.
**Monthly**
- Support event planning for regular events
- Compile documentation as required to verify subcontractor invoices.
- Compile data for invoicing.
**Ongoing**
- Provide administrative support and data entry to Project Managers as required.
- Coordinate with project team members and facilitate the flow of information.
- Follow established company project management policies, guidelines, technology, and templates.
- Suggest improvements and positive changes to existing systems and procedures.
- Maintain a high quality of work, ensuring that quality self-checks are performed.
- Initiate and organize an efficient work routine in a busy project environment.
- Interact with team members, share lessons learned, and build knowledge base.
**Qualifications**:
**Required**:
- 1-3 years’ work experience in similar role, or equivalent combination of education and experience.
- Advanced computer skills, particularly use of Excel and other Microsoft Office programs.
- Ability to manage conflicting priorities and seek clarification where required.
- Excellent written and oral communication skills.
- Adept at problem solving, conflict resolution and collaboration.
- Demonstrated integrity and personal excellence, self-motivated and detail oriented.

**Preferred**: Functional knowledge of Project Management and Financial Systems and tools, such as;
