Real Estate Brokerage Deal Secretary

**Responsibilities**:
- Communicate effectively with Branch Managers, Administrators, and Accounting teams.
- Remind and follow up with agents regarding submission of necessary paperwork (e.g., listing agreements) for deal processing.
- Process daily incoming deals using Lonewolf software.
- Prepare and send trade sheets for agent signatures.
- Invoice solicitors and co-operating brokerages for commissions.
- Answer and manage incoming calls, responding appropriately and efficiently.
- Communicate clearly with agents about issues related to deal paperwork and follow up on outstanding submissions (e.g., amendments).
- Accurately read and understand Agreements of Purchase and Sale, Agency forms, and Fintrac ID requirements.
- Assist with other tasks as assigned by Management.
**Qualifications**:
- 1-2 years of related experience in a real estate office.
- Proficiency with LoneWOLF accounting software.
- Strong attention to detail and ability to handle confidential information.
- Excellent communication and interpersonal skills.
- Ability to read and understand real estate contracts and forms.
- Experience with accounting tasks, including HST processing.
- Advanced knowledge of Stratus MLS and Microsoft Office.
- Previous administrative or front desk experience is preferred.
- Multilingual abilities in Farsi, Mandarin, or Cantonese are an asset.
