We are seeking a Bilingual Operations Representative (English & French) to join our Coughlin team in Ottawa.
The Bilingual Operations Representative provides administrative support to the Human Resources & Operations department and does so in such a way as to ensure the smooth operation of the company as whole.
The Bilingual Operations Representative provides various office support services such scanning documents, sorting, and distribution of mail, data entry, reception duties, and member ID card production. Other administrative duties extend to providing back up support to most positions within the Human Resources & Operations department which includes mail room duties, storage, inventory, and local pick up and deliveries may also be required.
**The Bilingual Operations Representative will**:

- Perform mail room duties such as sorting, opening, logging, and distributing incoming mail and electronic correspondence in accordance with company standards to appropriate departments and recipients, processing outgoing mail and courier items with mailing equipment
- Prepare, verify and reconcile purchase orders ensuring proper approval processes are followed
- Review forms, invoices, courier packages
- Maintain security access logs and the company’s visitor pass system
- Maintain various logs for incoming and outgoing documents and courier activity
- Maintain a welcoming atmosphere in the reception area by arranging newspapers and magazines, maintaining the availability of coffee and coffee-related supplies, and monitoring overall tidiness
- Respond to clients, members, or other external contacts in a prompt, efficient, and courteous manner at all times
- Perform reception duties, such as maintaining a multi-line telephone system, coordinating the requests of walk-in clients, and maintaining security access logs

**T**o be successful **as a** Bilingual **Operations Representative** with Coughlin & Associates, you will need**:

- **Bilingualism in English & French is required**:

- Sound knowledge of standard office administration procedures and Microsoft Office
- Experience with Content Management Systems (electronic documents, records, business processes)
- Excellent grammatical, spelling, and communication skills in both official languages
- The ability to maintain good public relations, both within and outside the organization
- Strong organizational skills, the ability to prioritize and multi-task, and the ability to manage time effectively
- The ability to adhere to existing company policies and procedures
- The ability to use tact and discretion to maintain information in the strictest of confidence
- Some previous experience working in an administrative role
