Job Title**:Facilities & Grounds Coordinator**
Reports to: General Manager
Job Classification: Permanent Full-Time Salary - Averages between 36 and 44 hours per week
This position manages the daily activities of staff related to maintenance, cleaning, and improvement of buildings, grounds, and equipment of the Lindsay Agricultural Society in addition to performing many of the tasks required to complete same. This includes:
1. Managing the day-to-day delivery of maintenance, housekeeping and grounds keeping services on the Lindsay Exhibition Grounds:
a. Plans adequate staffing levels to set-up for, provide required services during, and clean-up after events held at the grounds, including the Lindsay Exhibition
b. Plans adequate staffing levels to ensure the campground facilities are maintained at an acceptable standard and all service requests from the Campground Manager are met on a timely basis;
c. Manages staff completion of the required tasks through task assignment, supervision, feedback, coaching, training, and annual review;
d. Reviews and signs off on grounds staff time sheets to ensure their accurate and timely completion;
e. Develops orientation and on-the-job training programs for facilities staff to upgrade skills and increase job safety;
f. Interviews, screens, and recommends potential applicants for employment;
g. Evaluates position descriptions of employees to keep them current;
h. Establishes written rules and regulations on safety precautions, and working procedures;
i. Maintains records of staff compliance with safety procedures;
j. Plans and maintains records of preventative maintenance activities for all equipment;
k. Prepares annual plans for the delivery of the services associated with preventative maintenance, including scheduling annual Safe to Operate inspections;
l. Recommends capital improvements to the General Manager for presentation to the Board of Directors as part of the annual budgeting process based on priorities established by facility needs, public demand, and safety concerns; and
m. Assists the General Manager with preparing budget estimates for capital improvements, supplies, and equipment to meet the needs of the LAS.
2. Participating in the day-to-day delivery of maintenance, housekeeping, and grounds keeping services:
a. Coordinates with General Manager on all rental quotes and contracts
b. Delegates responsibilities and scheduling of summer staff.
c. Sets up facilities as required for the Lindsay Exhibition and other tenants to successfully host their events;
d. Provides housekeeping and maintenance during the Lindsay Exhibition and other events as required;
e. Cleans up after events to ensure the grounds are always tidy, clean, and project a well-maintained appearance;
f. Completes routine preventative maintenance and minor repairs;
g. Identifies repairs requiring outside expertise (electricians, plumbers, HVAC, etc.) and arranges for the completion of the repairs in consultation with the General Manager;
h. Is on-call for emergency situations in rotation with other grounds staff;
i. Ensures snow and ice are cleared in a timely manner such that the grounds are safe for visitors; and
j. Ensures garbage and other debris on the grounds are cleaned up and removed in a timely manner.
3. Other duties as assigned.
**Required skills**:
- Experience with general electrical considered an asset.
- Experience operating and maintaining the equipment required to perform the facilities maintenance tasks including tractors, skid steers, lawnmowers, string trimmers, floor cleaners, off-road utility vehicles (Gators, Mules, golf carts, etc).
- Experience performing light maintenance and plumbing including repairing bathroom fixtures, leaking pipes, and repairing frame construction buildings.
- Experience operating a range of hand and power tools including drills, saws, wrenches, hammers, etc.
- Experience overseeing and effectively managing a team of staff
- Experience overseeing and implementing a compliant health and safety program in a facilities management environment
- Ability to interact with the public and tenants in a professional, courteous manner
- Ability to operate and make decisions effectively in a fast-paced and at times, demanding environment
- Valid class “G” Ontario driver’s license
- Provide a Criminal Background Check & Vulnerable Sections Check
- Ability to maintain a sense of humour during times of competing priorities in a demanding environment (during the LEX); mandatory
- Demonstrated ability to work in a team environment;
- Effective written and verbal communication skills;
**Annual Work Hours**:
This position is Full-Time with ebbs and flows to the work. The weeks leading up to, during, and after the Lindsay Exhibition require significant daily time commitment. Evening and weekend hours are required during events hosted at the LEX Grounds.
