**JOB DESCRIPTION**:
Reporting to the Project Accountant, the successful individual will be responsible for performing daily administrative and job cost transactional tasks in a high-volume environment across multiple business units. The individual will be able to multi-task and be able to put on multiple hats as this role will also provide support for the Travel Coordinator through creating and receiving Purchase Orders, credit card expense claims, etc. Additionally, the incumbent will meet professional obligations through efficient work habits, meeting deadlines, honoring schedules, coordinating resources and meetings in an effective and timely manner, and demonstrating respect to others.

**KEY RESPONSIBILITIES**:
Job Cost Duties - 80% of the Time
- Create Purchase Orders and enter Purchase Order Receipts
- Complete employee expense claim forms and enter into ERP system
- Time entry - receive, organize, upload and track labour timesheets and Daily Production Reports by employees
- Create customer invoices and, if needed, enter into client invoicing portals
- Vendor and subcontractor setup
- Ensure financial records are maintained in compliance with accepted policies and procedures
- Ensure all financial reporting deadlines are met
- Assist with developing best practices across all business units

Support - 20% of the Time
- Support the Travel Coordinator
- Provide vacation coverage for other Administrators
- Provide information and support to the division's Operations Managers
- Assist the Project Accountant a Finance leadership as required
- Support AR and AP functions as needed
- Assist with month-end procedures
- Assist with quarterly and year end audits
- Other related duties as required

**KNOWLEDGE, SKILLS and ABILITIES**:

- Effective and proven organizational and time management skills to meet multiple deadlines and handle a variety of tasks in a high-volume, demanding work environment
- Highly detail-oriented

Ability to adapt to various situations with numerous key stakeholders
- Strong interpersonal, communication, and customer service skills; both written and oral
- Strong computer skills are required with proven proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook). Proficiency with pivot tables, lookup functions etc. are essential to the role
- Highly detail-oriented
- Working knowledge of General Ledger maintenance with past experience in journal entries and reconciliations
- Ability to work independently with mínimal supervision as well as in a team environment
- Demonstrate ability to perform maturely and professionally, ensuring complete confidentiality of sensitive and confidential information.
- Demonstrate the ability to think critically, act logically to evaluate situations, solve problems, and make decisions independently

**JOB REQUIREMENTS**:

- 3+ years of job cost or high-volume administrative experience
- Previous experience in a construction job cost environment is preferred.
- Knowledge of Accpacc/ Sage 300 would be considered as an asset
