**PAYROLL SPECIALIST**
**Primary Objective**:
Reporting to the Director of Finance, the Payroll Specialist oversees all aspects of the payroll process and manages the bi-weekly payroll for approximately 200 salaried, hourly and commission employees across Canada.
**Duties and Responsibilities**:
- Ensuring that payroll is processed timely and accurately for all employees in both companies on a bi-weekly basis.
- Update and maintain accurate
Attendance records
Payroll Reports
Support and Garnishees
Verify labour hours WorkForce Now Time and Attendance
- Key all bonuses for applicable managers and executive team
- Key Payroll Action Requests (PAR’s) and review date changes for all employee’s as they come in
- Key all salary changes into our benefit carrier’s system
- Update contact information
- Record taxable benefits
- Run reports in WorkForce Now as required for Human Resources Team and Executive
- Prepare journal entries
- Pay commissions monthly
- Provide accounting with monthly accrual for payroll as well as any applicable vacation accrual
- Produce ROE’s
- All filing required for employees records
- Primary resource for all Questions regarding the Payroll and Vacation
Application on Quickbase
- Maintain accurate Government files and voucher
- Process all Workers Comp payments for both companies and reconcile accounts
- Produce vouchers for any cheques including Perfect attendance, advances, retirement etc.
- Maintain and process Union dues payments and keep an up-to-date seniority list
- Management of all benefit payments when employee goes off on leave
- Ensure following CBA rules and guidelines
- Prepare transfer of pension funds every Pay Day
- Perform benefit audit twice a year
- Keep track of employee turnover and measurement of tenure
- Produce Monthly Headcount Report to Executive Team and finance
- Continually ensure company Org Chart kept up to date
- Keep up to date with all legislative changes applicable to payroll
- All other duties as assigned
Year End Process
- T4 balance
- Produce T2200’s
- Produce Releve 1’s for Quebec employees.
- T4 summary
- Reconciliation of all Government accounts
- Reconciliation of all WCB accounts
- Update LTD spreadsheet for all Managers and Sales and update benefit deductions accordingly
**Knowledge, Skills and Ability Required**:
- Strong organizational, communication and computer skills including Word, Excel and Outlook
- Strong internal orientation and relationships
- Ability to have utmost confidentiality
**Minimum Education and Experience Requirements**:
- Post secondary education in Payroll or related or equivalent practical experience
- 5+ years’ payroll experience
- PCP designation
- 2+ years experience with WorkForce now within Canadian ADP considered an asset
- Managing union contract on the payroll side
