- Job Summary:
Fulfill first point of contact as a Receptionist for our organization. This individual is expected to be customer focused, show flexibility and adaptability to meet our client expectations. The position includes the greeting of all visitors, administration of visitor management system, processing day passes for security access, service request ticket assignment administration, and booking small meeting rooms. This role performs a broad range of reception, office and meeting rooms support duties, demonstrating a superior level of customer service.

What you will do:
Main Reception Duties- Welcome and show visitors to meeting rooms-
- Ensure proper registration of all visitors upon their arrival-
- Manage meeting room calendars for conference center-
- Maintain overall appearance, tidiness of reception areas and Conference floor meeting rooms-
- Provide beverage service for meeting room in conference center-
- Redirect all calls as required to the appropriate personnel or groups-
- Opening and closing procedures of the reception desk-
- Receive and record Pension document intake-
- Schedule future appointments for Plan members-
- Liaise with property management to report deficiencies and coordinate service requests with building maintenance as needed.-
- Provide triage support for incoming work order tickets-
- Administer day pass cards, providing to those staff, who have forgotten or misplaced their card-
- Monitor security cameras throughout HOOPP-
- Provide data entry assistance when needed-
- Other tasks as assignedWhat you bring:
- Grade 12 diploma / Community College diploma-
- 2-3 years general office experience, including reception administration-
- Experience in front-line customer service-
- Demonstrated professionalism-
- Proven interpersonal/communication skills-
- Proven superior customer service practices and experience-
- Excellent computer skills for administrative support-
- Strong attention to detail-
- Ability to work with mínimal supervision-
- Ability to maintain confidential information-
- Proven history of reliability, attendance and punctuality-
- Proficient in Microsoft Office Suite-
- Experience with Ccure an asset
