We are Lloyd Burns McInnis LLP, a boutique insurance defence law firm located in downtown Toronto. We are seeking an Operations Manager to join our team on a full-time basis. You will work closely with our Partnership, our 21 lawyers and legal assistants. This role is perfect for someone who isn't daunted by pushback and will be resilient towards moving projects forward, with attention to detail, the ability to prioritize work and meet deadlines, and who is able to work independently and also within a team.

As Operations Manager, you will be managing the office, including vendor management, repairs, supply and procurement for both the office space and staff needs. You'll also be responsible for bookkeeping/accounting in the forms AR/AP, payroll, budgeting, audits and other financial tasks, with support from our Billing Clerk.

We'd be extra impressed if you have interest and experience in working with HR systems, to help support staff performance reviews, compensation and salary charts, and managing vacation time tracking.

**Scope of Duties**:
As Operations Manager, here are some of the things that you would be tasked with:

- Manage day-to-day operations of the law office, including administrative tasks and office supplies management.
- Conduct financial activities, including billing, accounts payable, accounts receivable, payroll, and budgeting.
- Prepare and analyze financial reports, ensuring accuracy and compliance with accounting standards.
- Coordinate with external auditors and manage annual audits.
- Coordinate with external vendors and manage office maintenance.
- Manage procurement and resource allocation.
- Supervise office staff, providing training and support as needed.
- Manage the onboarding and offboarding process for staff, including provisioning equipment, tracking time away, etc.
- Implement and maintain office policies and procedures to ensure efficient operations, with support from the Partnership, getting buy-in as required.
- Handle confidential client information with discretion and professionalism.
- Assist in the preparation of financial statements and tax returns.
- Ensure compliance with legal and regulatory requirements.
- Has a few years of operations experience in a legal setting (working with Partners).
- A CPA, or similar/equivalent certifications
- Has experience using third party billing platforms such as TyMetrix and Bottomline.
- Has experience using docketing and billing platforms such as Soluno.
- Demonstrates strong organizational skills, time management skills, and attention-to-detail.
- Is an excellent written and verbal communicator.
- Can follow instructions, work independently, and provide meaningful contributions as a member of a fast-paced team.
- Comfortable working with Adobe Acrobat, Excel, Word, Outlook and DMS, and billing software/platforms
- Loves staying organized and meeting deadlines.
- Brings positivity, optimism, trustworthiness, agility and drive.

**Additional Requirements**:

- A police check from your municipal police force is required following acceptance of the position.
