Overview

Under the direct report of the Manager, Communications and French Language Services, and in conjunction with the Staff Engagement and Retention Coordinator, you will plan, coordinate and execute corporate in-person, digital, and hybrid events for the 50**th** anniversary of the world-leading University Ottawa Heart Institute (UOHI). You will also act as a conduit between various departments and teams to advise them on best practices for management and execution of all events at UOHI.
**Responsibilities**:
Coordination and support
- Coordinate and execute a selection of in-person, digital, and hybrid events which will include event production, logistics, and reporting.
- Collaborate directly with internal teams such as the Education Committee, Information Technology, Clinical Services, Research Services, and Capital Projects and Facilities to produce a cohesive and valuable experience for all participants.
- Help ensure flawless execution of events according to the UOHI standards of excellence.
- Design and document digital, hybrid and in-person event technical/operational workflow.
- Meet with internal clients for event consultation to provide guidance and share best practices.
- Build event planning and execution capacity of event delivery agents internally.
**Communications and marketing**
- In collaboration with the Communications Team:
- Develop the vision, messaging, promotional material and marketing plan to support gatherings and post-event communication activities.
- Build and maintain strong working relationships with a wide range of stakeholders and partners including but not limited to clinicians, researchers, external lecturers, and vendors, and partners.
- Perform any other related communications duties as assigned by supervisor to ensure the success of the team and the entire organization.
**Technology support**
- In collaboration with the IT team:
- Act as support during events.
- Source and implement the technology and platform that will be used during our digital and hybrid programming.
- Ensure appropriate audio and visual set up when necessary
- Troubleshoot, resolve, and report on any platform issues.
- Evaluate best tools for participant registration, participation, feedback, event evaluation and follow-up.
Qualifications and skills
- Bachelor’s degree in communications, public relations, college diploma in event planning/management or a related field (required).
- 1-3 years of event planning or production experience (required).
- A profound understanding of how to optimize multiple events under an overarching theme.
- Familiarity with virtual event platforms such as MS Teams Meetings and Webinars, MS Teams Live Events, Zoom Meetings and Webinars, etc.
- Ability to quickly understand technical matters and communicate them succinctly.
- Ability to work under tight time constraints and troubleshoot efficiently and effectively during virtual events.
- Ability to adjust work schedule to coincide with events, including irregular hours, evenings and weekends at times.
- Strong project management skills.
- Excellent attention to details.
- Capacity to build effective relationships with diverse stakeholder groups.
- Ability to work without close supervision.
- Strong customer focus, service-minded mentality, and organizational skills.
- Effective written and verbal communication skills.
- Knowledge of communications in a healthcare setting (asset).
- Experience with social media, digital content management tools and content curating tools (asset).
- Experience in layout and production for print and digital (asset).
- Bilingualism (asset).
