**Job Overview**
We are seeking a highly organized, proactive Office Operations Coordinator to ensure the smooth day-to-day functioning of our business. This role acts as the central coordination point between departments, clients, suppliers, and management.

This role plays a key part in ensuring operational continuity. The Office Operations Coordinator is entrusted with maintaining structure, follow-ups, and execution across departments, ensuring that day-to-day operations continue to run efficiently and reliably at all times.

This position is best suited to someone who enjoys coordination, follow-through, and ownership across multiple functions, and who is comfortable working beyond traditional administrative or logistics-focused responsibilities.

Key Responsibilities:
Orders & Client Requests
- Enter and process customer orders accurately and on time
- Coordinate client requests related to:

- Invoicing
- Order follow-ups
- Stock availability
- Returns
- Ensure all requests are properly communicated and completed across internal teams

Cross-Department Coordination
- Act as the central point of contact between sales, operations, design, and management
- Track open items and follow up until completion
- Ensure priorities, deadlines, and commitments are respected

Import, Inventory & Arrival Tracking
- Monitor import status and expected arrival timelines
- Coordinate with suppliers and freight partners
- Book cargo shipments and follow up on:

- Bills of lading
- Vessel schedules
- ETAs and delays
- Communicate updates clearly to relevant stakeholders

Product & Design Coordination
- Ensure product designs, packaging, and artwork are completed on schedule
- Coordinate design timelines with pre-booked orders planned months in advance
- Follow up with internal teams and external partners as required

Reporting & Tools
- Prepare stock and operational reports using Excel
- Maintain structured tracking files (orders, inventory, timelines)
- Create presentations and documents using Adobe and Microsoft tools

Required Skills & Qualifications
- Strong proficiency in Microsoft Excel (tracking, reports, formulas)
- Comfortable using Adobe tools for presentations and simple layouts
- Excellent knowledge of the Microsoft Office Suite (Outlook, Word, PowerPoint)
- Strong organizational and prioritization skills
- Clear written and verbal communication
- Ability to work independently and take ownership of responsibilities

Nous recherchons un(e) coordonnateur(trice) des opérations de bureau très organisé(e) et proactif(ve) afin d’assurer le bon fonctionnement des opérations quotidiennes. Ce rôle agit comme point central de coordination entre les équipes internes, les clients, les fournisseurs et la direction.

Ce poste joue un rôle clé dans la continuité des opérations. Le ou la coordonnateur(trice) des opérations de bureau est responsable de maintenir la structure, les suivis et l’exécution entre les équipes, afin d’assurer un fonctionnement efficace et fiable des opérations en tout temps.

Ce rôle s’adresse à une personne à l’aise avec la coordination, le suivi et la prise en charge de responsabilités transversales, au-delà des fonctions administratives ou logistiques traditionnelles.

Responsabilités principales:
Commandes et demandes clients
- Saisir et traiter les commandes clients avec précision et dans les délais
- Coordonner les demandes liées à:

- La facturation
- Le suivi des commandes
- La disponibilité des stocks
- Les retours
- S’assurer que toutes les demandes soient bien communiquées et complétées à l’interne

Coordination interservices
- Agir comme point de contact central entre les ventes, les opérations, le design et la direction
- Assurer le suivi des dossiers jusqu’à leur complétion
- Veiller au respect des priorités, échéanciers et engagements

Suivi des importations, stocks et arrivages
- Suivre l’état des importations et les dates d’arrivée prévues
- Coordonner avec les fournisseurs et partenaires de transport
- Réserver les cargaisons et assurer le suivi:

- Des connaissements (B/L)
- Des horaires de navires
- Des ETA et retards
- Communiquer les mises à jour aux parties concernées

Coordination produits et design
- S’assurer que les designs, emballages et visuels soient complétés selon les échéanciers
- Coordonner les échéanciers de design avec les commandes prévendues planifiées plusieurs mois à l’avance
