**Position Summary**:
**Responsibilities**:
- **Administrative Support**:
- Manage executive calendars, schedule meetings, and coordinate appointments.
- Prepare and organize documents for meetings, listings, contracts, and closings.
- Assist with client onboarding and ensure proper documentation is collected and processed.
- **Transaction Coordination**:
- Track active listings, sales, and pending transactions to ensure deadlines are met.
- Liaise with clients, vendors, and other agents to coordinate showings, inspections, and appraisals.
- Maintain transaction files, ensuring all required documents are up-to-date and compliant.
- **Marketing & Social Media**:
- Collaborate on marketing strategies to promote listings, especially in the pre-construction sector.
- Assist in the creation and distribution of marketing materials, including brochures, e-blasts, and social media posts.
- Update and maintain social media platforms, company website, and MLS listings.
- Coordinate with photographers, videographers, and staging professionals to ensure high-quality content for new listings.
- Track and analyze marketing metrics and report on campaign performance.
- Organize and participate in open houses, promotional events, and community outreach initiatives to drive brand awareness.
- Research and identify opportunities for sponsorships, partnerships, and community events that align with the company’s brand.
- **Pre-Construction Team Support**:
- Work closely with the pre-construction team to gather and distribute project-specific information.
- Maintain an up-to-date database of pre-construction projects, including pricing, floor plans, availability, and key dates.
- Create and update project marketing packages and buyer information kits for pre-construction developments.
- Communicate with developers and project sales teams to obtain and confirm details for new launches and VIP events.
- Coordinate client VIP access to pre-construction sales events and provide support for priority bookings.
- Track and manage client reservations and deposits for pre-construction projects, ensuring compliance with project timelines and developer requirements.
- Maintain a CRM system with client inquiries and pre-construction leads, ensuring timely follow-up and consistent communication.
- Prepare reports on pre-construction leads and sales metrics to assist in strategic planning for upcoming projects.
- **Client Relations**:
- Act as the first point of contact for client inquiries and follow-ups.
- Provide clients with property updates, progress reports, and appointment reminders.
- Foster strong relationships with clients to enhance satisfaction and retention.
- **Data Management**:
- Maintain accurate records in the CRM system and other databases.
- Track and report on key metrics such as sales, leads, and marketing performance.
- Manage and organize electronic and physical files, ensuring confidentiality and compliance.
- **Office Management**:
- Order office supplies, coordinate maintenance, and handle general office tasks.
- Assist with onboarding new team members and provide administrative support as needed.
**Qualifications**:
- **Experience**:
- Minimum of 2 years of experience as an administrative assistant, preferably in real estate or related industries. Experience in pre-construction or marketing is an asset.
- Familiarity with real estate terminology, documents, and processes is a plus.
- **Skills**:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Experience with CRM systems, MLS software, social media platforms, and marketing tools.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities with attention to detail.
- Ability to work independently and take initiative in a dynamic environment.
- **Education**:
- High school diploma required; a degree or certification in real estate, business administration, marketing, or a related field is preferred.
