**Role**:
Reporting to the Executive Director, Office of the Public Guardian and Trustee (OPGT), the Executive Assistant is responsible for providing confidential and complex executive-level administrative support, while having the foresight to anticipate and take care of upcoming administrative needs.
As an integral part of the OPGT branch, the Executive Assistant is responsible for providing support to the Executive Director in the ongoing operation of the organization, liaising and maintaining useful and regularly accessed networks with the Assistant Deputy Minister’s office, the OAG, other government departments and special interest groups, contract management administration and invoice processing and handling sensitive and confidential issues.
The Executive Assistant will further demonstrate our vision and values through the following:
- Managing the Executive Director's calendar, prepare meeting materials and handle post-meeting administration
- Accurately maintaining the Executive Director’s records management system
- Retrieving and responding to all incoming messages from OPGT general inquiries phone line
- Researching, preparing and editing sensitive and confidential documents for the Executive Director, often on behalf of senior ministry, elected officials and stakeholders
- Scheduling appointments for the Executive Director, booking meeting facilities, planning/coordinating travel schedules and arrangements
- Acting as liaison between Service Alberta and its partner service providers and ministry end users
- Ensuring information dissemination to OPGT management and staff regarding updated guidelines, policies and procedures
- Providing frequent cover-off for the ADM's administrative team when needed
- Strong executive administrative skills
- Excellent organization and time management skills
- Working knowledge of applicable government administrative policies and procedures
- Strong verbal and written communication skills
- Ability to work independently with little supervision
- Agility in proactively dealing with fluctuating priorities in a busy office
- Exceptional attention to detail to ensure paperwork is processed accurately and promptly
- Positive attitude and ability to quickly develop rapport with key contacts inside and outside OPGT.
**Qualifications**:
Minimum Recruitment Standard:
- High school diploma and three years of related experience.
**Equivalencies to be considered**: Directly related experience or education considered on the basis of one year of experience for
one year of education or one year of education for one year of experience.
**Requirements**:
- Executive administrative support and issues management are required.
- Experience with the Action Request Tracking System (ARTS) is an asset.

**Salary**:
$1,861.71 to $2,279.37 bi-weekly
($48,590 - $59,491 per annum)
