The Christmas Food program is a collaborative project that helps people living on a low income in Waterloo Region connect with supports to celebrate during the Christmas season. The primary role of the Administrative Assistant is to be responsible for the administrative aspects of the Christmas Program; supporting community members with accessing the online Registration Tool, primarily answering questions over the phone or online. As part of a larger staff and volunteer team, the Administrative Assistant(s) will problem solve the complex logístical challenges of providing food to over 4000 households.

We are seeking **FOUR (4) **energetic and organized people to be responsible for the administrative aspects of the Christmas Food Program. The primary role of the Administrative Support Worker is to help community members with accessing the online Registration Tool, answering questions over the phone or online. As part of a larger staff and volunteer team, the Administrative Support Worker will problem solve the complex logístical challenges of providing food.

You will provide support to a diverse local population in accessing the Christmas Food Program either on the phone, in person, or online. You will ensure excellent customer service is given to everyone as you respond to a high volume of phone calls from community members, program partners and volunteers. If you are fluent in multiple languages, we consider this an asset and encourage you to apply.

You have previous experience working with databases, data entry and love details. The services delivered by this program are extremely time sensitive and on a large scale. You will complete key administrative tasks effectively with strong attention to detail. You will love working in this fast-paced environment, while using your strong organizational skills to keep large volumes of information in order.

You will also have the opportunity to use your strong interpersonal skills as you help with training and overseeing volunteers who are engaged in the program.

*** We are hiring for 4 x contract positions (8-10 weeks long; October to December).**

**We are hiring for 3 x full-time positions (37.5 hours/week) and 1 x part-time position (15-20 hours/week).**

**Schedule generally Monday to Friday, from 8:30am to 4:30pm.**

**We would value someone who speaks **Arabic, Spanish or Tigrinya**; in addition to English.**

**Key Responsibilities**:

- Provide support to a diverse local population in accessing the Christmas Program either on the phone, in person, or online
- Respond to a high volume of phone calls from community members, program partners, and volunteers, ensuring excellent customer service is given to everyone
- Support the Christmas Program registration process, run reports and ensure accurate data
- Train and oversee volunteers in conjunction with the Supervisor, Christmas Program and Volunteer Manager
- Complete key administrative tasks with strong attention to detail
- Assist with the distribution and delivery of food products and gift cards

**Job Specific Knowledge/Skills**:

- Ability to speak multiple languages is an asset
- Demonstrated professionalism with the ability to work as part of a high functioning, creative problem-solving team
- Skills working with people in crisis and de-escalation is an asset
- Ability to function efficiently in a fast-paced environment with large volumes of information
- Knowledge of the Kitchener-Waterloo community resources and geographic area would be an asset
- Ability to maintain confidentiality regarding sensitive staff, client and organizational issues
- Shared lived experience with and/or direct ties to the communities we serve

**Education/Experience**:

- Strong administrative skills including demonstrated proficiency in MS Office, particularly Excel
- Previous experience with databases and data entry
- Demonstrated experience with problem solving and conflict resolution
- Experience working with details and providing accurate information - the services delivered by this program are extremely time sensitive and on a large scale
- High school education is preferred
