The Administration and Client Service Specialist plays a pivotal role in ensuring the efficient execution of administrative and client service functions within the Specialized Markets division.

This role is responsible for ensuring that tasks and projects are completed on time, decisions are clearly communicated to all interested parties, and client expectations are consistently met or exceeded.

Your key responsibilities

**Service and support to clients**

  • Serve as a primary point of contact for administrative and operational inquiries from clients, associates, and insurance carriers.
  • Proactively manage assigned client cases, ensuring timely execution of benefit plan administration tasks.
  • Prepare and coordinate plan amendments, appeals, reports, presentations, and strategic documentation.
  • Provide administrative reports to Trusts and respond to related inquiries.
  • Collaborate with the Trust Accounting teams to ensure accurate processing and reporting.
  • Escalate and resolve claims, billing, and administration issues as appropriate.

**Meeting Organization and Follow-up**

  • Attend client meetings as required
  • Coordinate meeting logistics including scheduling, location, AV setup, and catering.
  • Prepare agendas, motions, meeting materials, and detailed minutes.
  • Ensure timely follow-up and resolution of meeting action items.

**Project and Workflow Management**

  • Collaborate with other departments and partners to facilitate project execution and client deliverables.
  • Identify opportunities for process improvement and implement workflow enhancements.
  • Monitor and manage project timelines, ensuring milestones and deliverables are met.
  • Oversee documentation and payments processed through the accounting department.

**Administrative Support to the VP of Specialized Markets**

  • Provide comprehensive administrative support to the VP of Specialized Markets.
  • Act as the primary point of contact between the VP and internal/external interest holders
  • Assist VP Specialized markets with tasks as assigned
  • Track and ensure action items are addressed on time and to completion

**Communication and Document Management**

  • Draft, proofread, and edit correspondence, reports, presentations, and other business documents
  • Coordinate and prepare internal and external communications, including member and partner communications
  • Maintain and organize confidential files, records, client websites, and document cataloguing systems.
  • Carry out any other related tasks as required.
  • College diploma in business administration or related field.
  • Minimum 8 years of experience in group insurance is a significant asset.
  • Experience working with Health Trusts
  • Customer service experience
  • Proven track record in client service and case management.
  • Versatility, resourcefulness, and ability to work independently
  • Ability to demonstrate judgment, integrity, proactivity and honesty
  • Exceptional organizational skills and attention to detail.
  • Ability to work independently and manage multiple priorities effectively.
  • High level of integrity, discretion, and professionalism in handling confidential information.
  • Strong written and verbal communication skills in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
