In this role you will provide case administration and document management support services for regulatory documents submitted to, and issued by, the Ontario Energy Board through the Office of the Registrar. This role ensures documents are properly formatted to OEB standards - including AODA compliance requirements - and electronically managed within defined document handling and security protocols. This position is a key member of cross-functional case teams in adjudicative proceedings and OEB consultations. The role of the Regulatory Administrator also includes assisting with the development of process maps and associated protocols, identifying and helping implement process improvements, establishing new document management processes and protocols, developing new and updating existing adjudicative templates and reporting on adjudicative activities.

**Responsibilities**:

- Ensures regulatory documents, including notices, orders, decisions, reports, and licences, are appropriately formatted and categorized, following appropriate document management This includes ensuring OEB-initiated documents are AODA compliant
- Follows defined security level protocols for management of documents, including handling and distributing confidential documents and verifying documents are destroyed after use by parties who signed the authorization for access to confidential documents
- Ensures documents are processed through the OEB document management system (Pivotal / Content Manager), tagging with meta data, ensuring naming conventions are followed and entering accurate information into the repository
- Follows OEB document management procedures. This includes proper treatment of commercially sensitive confidential documents, protecting private information in accordance with requirements in the Freedom of Information and Protection of Privacy Act (_FIPPA) _and in accordance with the OEB’s protocols
- Provides advice to Case Managers on document management procedures and identifies and helps implement changes designed to improve the OEB’s document management processes.
- Assists with adjudicative reporting
- Supports with hosting adjudicative events and consultations by ensuring the OEB’s hearing and meeting rooms are appropriately set up for events. Also provides support for hosting virtual and virtual and in-person hybrid events.
- Coordinates court reporter bookings
- Arranges for translation of regulatory documents, as required

Qualifications:

- Undergraduate degree in Legal, Business or Office Administration
- 2 + years’ case administration and documentation management
- Proficient at MS software tools and Adobe Acrobat Pro
- Organizational skills as it relates to document management
- Advanced MS Word and Adobe Pro skills (redaction, password-protection, AODA compliance)
- Process design and mapping experience (Eg. Six Sigma)
- Document management experience
