**Job Title**: Administrative Assistant

**Key Responsibilities**:

- Enter and manage preventative maintenance contracts in the company’s system.
- Plan and schedule preventative maintenance activities, coordinating with the dispatcher and customers to ensure efficient operations.
- Act as a liaison between the purchasing and dispatching teams to facilitate the smooth flow of work and materials.
- Assist with job scheduling and dispatching as needed, providing backup support during busy periods.
- Facilitate clear communication between the sales and service departments, ensuring all parties are up to date on job status and requirements.
- Respond to inquiries regarding job statuses, providing accurate and timely updates.
- Research potential subcontractors, develop relationships with new subcontractors, and coordinate jobs with existing subcontractors to ensure timely service delivery.
- Assist with arranging parts shipments via courier services, ensuring that parts are shipped accurately and on time.

**Skills & Qualifications**:

- Experience in the commercial garage doors and loading docks sector is an asset.
- Strong ability to learn and adapt to new software quickly.
- Proficiency in using Microsoft Word, Excel, and Outlook is required.
- Exceptional attention to detail and organizational skills.
- Ability to work in a fast-paced environment and remain calm under pressure.
- Excellent multitasking and time management skills.
- Strong communication and interpersonal skills for coordinating between departments and with external stakeholders (customers, subcontractors, etc.).

**Additional Requirements**:

- Experience with dispatching or job coordination in a similar industry is preferred.
- Ability to problem-solve and adapt to changing priorities and deadlines.
