**Bilingual Marketing Services Coordinator**

The **Bilingual Marketing Services Coordinator **is a key point of contact between the marketing team and the various internal stakeholders and business segments we serve. This role acts as the prime for receiving marketing and creative services requests primarily through our in-house ticketing system. This involves assessing the request, establishing requirements / key deliverables, providing the request and relevant information to the assigned marketing/creative team members and coordinating directly with the internal stakeholder to communicate progress, review drafts, and secure necessary approvals. Being a proficient communicator and collaborator is essential to this role.

Working closely with Marketing team leaders, the Bilingual Marketing Services Coordinator will establish and track progress for all requests ensuring SLAs and internal stakeholder needs are met. Requests may also include facilitating the creation of work or production of materials (e.g. print, SWAG, etc.) with external contractors and vendors. This role excels at being deadline-driven, organized, committed to delivering exceptional customer service and thrives in a fast-paced environment.

**Responsibilities**
- Manages the Zendesk Marketing instances as well as our task management tool, including receiving new requests, gathering details, assigning to team members, overseeing the delivery calendar, conducting QA, and gathering approvals prior to release of final materials
- Monitors progress of all marketing-related requests to ensures deliverables are completed within timelines and adheres to current processes for ensuring internal stakeholders are kept up-to-date on their project status
- Participates in weekly marketing services production meetings, liaising closely with our internal team (e.g. Graphic Designers, Marketing primes) to assign prioritized tasks, troubleshoot any issues, flag potential timeline risks
- Ensures on-going communication with stakeholders, including timely acknowledgement of all initial requests, understanding of the ask and collection of information, regular updates, and confirmation of delivery requirements, through Zendesk and/or scheduled meetings/calls as required
- Works collaboratively with members of the team to maintain our current asset management framework, including, file naming, file organization, revision management and archiving
- Manages and/or works closely with outside vendors to produce materials such as print collateral, promotional items, event materials, photographs (as required)
- Plays a key role in maintaining our print-on-demand platform to ensure that key marketing documents are available, quick to find, use and order. As well as conducts a bi-annual review to ensure the platform contains only the latest files, etc.
- Provides support for other marketing initiatives, activities, and projects as assigned
- Acts as a brand steward, always ensuring the materials we produce are on brand. Helps to educate internal stakeholders on brand guidelines and completes quality checks prior to any files being released to ensure they are to standard

**Qualifications**:

- Post-Secondary degree in Marketing, Advertising, Business or related specialty is preferred
- A minimum of 2 years’ experience in a similar role; experience working within an in-house Marketing team considered an asset
- Bilingual - complete proficiency in French is required
- Ambitious, self-starter attitude, with a hunger to learn, grow and challenge the status quo
- Excellent organizational skills, ability to multi-task with several priorities and thrive in a fast-paced team
- A strong customer service mentality and a desire to work closely with stakeholders to help them achieve their objective
- Strong verbal and written communication skills
- Proficient in MS office
- Knowledge of Zendesk or other applicable marketing and design workflow software
