**Customer Service Representative (Parts Coordinator)**

**About Us**

**Position Overview**

We are seeking a detail-oriented and customer-focused **Customer Service Representative (Parts Coordinator)** to join our dynamic Project Management Team. This key role is responsible for managing customer inquiries, processing parts and warranty orders, generating quotes, coordinating site visits, and performing a variety of administrative tasks.

**Key Responsibilities**
- Respond to technical and parts-related inquiries promptly and accurately.
- Assist clients with product information, pricing, and order placement.
- Process parts orders and warranty entries in a timely manner.
- Address and resolve customer issues, including complaints and RMAs.
- Schedule site visits and preventive maintenance with field technicians.
- Coordinate with Procurement to confirm estimated delivery dates for parts.
- Collaborate with Shipping for special handling or urgent shipments.
- Monitor the production of manufactured parts to ensure timely delivery.
- Work with the Quality department to ensure all parts meet standards prior to shipment.
- Support the Project Management team with various administrative functions.

**Qualifications**
- Minimum 2 years of experience in customer service, preferably in parts coordination or technical support.
- Experience in inventory coordination, order processing, or service dispatch is an asset.
- Excellent interpersonal, verbal, and written communication skills.
- Confident and professional when dealing with internal and external stakeholders.
- Strong computer skills, including MS Outlook, Word, Excel, PowerPoint; ERP experience is a plus.
- Highly organized, with strong attention to detail and time management abilities.
- Able to multitask, prioritize, and work efficiently in a fast-paced environment.
- Resourceful, proactive, and committed to customer satisfaction.
- High School Diploma or equivalent required; post-secondary education or technical training is an advantage.
