**Job Summary**
Point on the Bow (POB) is a prestigious, self-managed, residential property in the Eau Claire neighborhood of Calgary. The building is 15 stories with 38 units. Amenities include an atrium lobby, social room, pool, gym, library, landscaped deck and underground parking. We are looking for an experienced Property Manager to join our team.

The Property Manager is responsible for all aspects of the day-to-day management of the property in compliance with all applicable Legislation, By-laws and Rules & Regulations established by the Board. You must be prepared to monitor and oversee a wide range of special projects, which may require hiring external specialists. You may be assigned various tasks and other related duties as they are approved by the Board of Directors. You will report to the President of the Board of Directors and work with the Treasurer and Committee Chairs for Infrastructure building projects, Long Range Planning projects, Human Resources, and social activities. Once projects are approved by the Board, you will support the committee chairs as required.

**Responsibilities**

**Administration**:

- Attending all board meetings and AGM’s, preparing notices, compiling reports and preparing minutes in a timely manner
- Ensuring the database of owners, residents and staff is current and always remains confidential
- Negotiating the annual building liability and D&O insurance coverage
- Overseeing and administering insurance claims with the board, owners, insurers, and adjusters
- Providing 24-hour back-up emergency service and responding to callouts regarding water leaks, lack of heat or other services or emergencies, which may threaten the integrity of the property or the safety of the residents
- Maintaining electronic files and documents required by section 44 of the Condominium Property Act and ensuring requests from owners for documents are responded to in a timely manner
- Preparing realtor disclosure documents and estoppel certificates for owners who sell their suites including collection of outstanding fees and fees for providing documents
- Maintaining all files, records, building plans, drawings, schematics, and warranties
- Negotiating and managing vendor contracts
- Overseeing the Concierge Desk Manuals and all staff and/or owner Procedures, Codes of Conduct, and Rules and Regulation documents. Reviewing desk logs and resolving matters noted in the logs.
- Ensuring and documenting all required inspections such as elevator, boiler, fire system, backflow devices, pool inspections are conducted as required by law and all issues raised are resolved in a timely manner
- Enforcing the building bylaws and rules and regulations including fines and sanctions
- Preparing a monthly report for the Board meetings
- Reviewing renovation requests for compliance with renovation rules prior to submission to the Board for review
- Ensuring that no work is done in suites except as approved by the Board and by qualified contractors
- Ensuring building security standards are current & enforced
- Support Board and Committee Chairs for Social, Infrastructure, Long Range Planning and Human Resources committees

**Financial Management**:

- Payroll: Overseeing the review and approval of all timesheets and submitting them for processing
- Reviewing and approving invoices for processing
- Develop annual budget for board approval
- Develop for board approval, a 5-year capital expenditure plan for repair, replacement and modernization of operating systems, components, and common area features.

**Staff Supervision**:

- The staff includes a lead concierge, 5-6 concierge staff covering a rotating 24-hour period, a full-time maintenance supervisor and cleaning staff.
- Supervising and directing the activities of the Lead Concierge and building operations staff
- Hiring and terminating employees and conducting staff evaluations annually, at a minimum. Consulting with the President regarding disciplinary action
- Updating job descriptions

**General Building Maintenance and Contractor Supervision**:

- Maintaining a clean, secure, and well-cared-for property
- Meeting daily with building staff to review daily tasks as well as new and ongoing projects
- Reviewing completed and outstanding maintenance work orders to ensure maintenance tasks are performed in a timely manner
- Negotiate and manage projects approved or assigned by the Board.
- Oversee all contractors hired for building maintenance projects or major development projects approved by the Board.
