LSM Lee’s Sheet Metal is looking for a part-time Residential Office Assistant to provide clerical and administrative support in a fast-paced environment. The Office Assistant's duties are data entry, answering telephone calls and/or responding to walk-in inquiries, taking/relaying messages, customer job scheduling, writing work orders, completing tasks related to incoming and outgoing mail, issuing invoices, sales receipts, receiving payments (debit, credit card, cash, cheques), schedule meetings, occasional out of office sales representation and perform other tasks as requested.
The successful applicant will have good typing speed and accuracy, strong interpersonal and communication skills to deal effectively with the public and coworkers, good organizational and administrative skills, and the ability to prioritize work ensuring deadlines are met. Maintaining confidentiality, using discretion, tact, and diplomacy are also required.
RESPONSIBILITIES:
1. Data Entry: Inputting various data into computer systems accurately and efficiently.
2. Answering Calls and Walk-in Inquiries: Handle incoming telephone calls and walk-in inquiries, providing information or directing calls to the appropriate staff members.
3. Message Taking and Relaying: Take messages accurately and relay them to the appropriate individuals in a timely manner.
4. Customer Job Scheduling: Assist in scheduling customer jobs, ensuring efficient coordination and effective use of resources.
5. Work Order Writing: Prepare work orders based on customer requests and ensure all necessary details are included.
6. Mail Handling: Sort and distribute incoming mail, as well as prepare outgoing mail. Handle tasks related to mail, such as photocopying, scanning, and filing documents.
7. Invoicing and Receipts: Prepare and issue invoices and sales receipts. Receive payments from customers, including debit, credit card, cash, and checks, and ensure accurate recording of transactions.
8. Miscellaneous Tasks: Perform other administrative tasks as requested, such as filing, data organization, and maintaining office supplies.
QUALIFICATIONS:
1. Administrative Support/Secretarial Experience or Training: Previous experience or training in providing administrative support or secretarial duties is preferred.
2. Excellent Customer Service and Phone Skills: Strong interpersonal and communication skills to provide excellent customer service and handle phone inquiries professionally.
4. Knowledge of QuickBooks: Familiarity with QuickBooks is considered an asset for managing financial transactions and bookkeeping tasks.
5. Ability to Learn New/Business-Specific Software: Willingness and ability to quickly learn and adapt to new software or systems specific to the business's operations.
6. General Knowledge of Business Letters and Office Procedures: Understanding of proper business letter formatting, English grammar, and spelling. Familiarity with general office procedures and filing systems.
7. Accounts Payable Knowledge: Basic understanding of accounts payable processes and procedures.
8. Organizational and Time Management Skills: Strong organizational skills to prioritize work effectively, meet deadlines, and handle multiple tasks simultaneously.
9. Confidentiality and Discretion: Ability to maintain confidentiality, exercise discretion, tact, and diplomacy when handling sensitive information or interacting with customers and coworkers.
