Overview

Reporting to the Project Coordinator, the administrator is responsible for overseeing and managing residential projects including timelines, schedule, notifications, approval processes, contracts, etc. (Construction, Suites, and Procurement).

**Responsibilities**:

- Participate in tender and contract preparation — coordinate tender receipt and opening.
- Work closely with Project Managers and Project Coordinators on preparing schedules, communicating project progress, assisting with documents and processes across departments.
- Assist in ensuring project timelines are up to date and in accordance with project notifications and maintaining the Notification Tracker.
- Assistance with Warranty and Closeout Documentation Process and maintaining the Warranty Tracker.
- Organize and plan meetings, prepare agendas and meeting minutes across departments.
- Assist coordinators with special projects such as, Telecom, Painting and Parking Enforcement Program.
- Review and approve Energy Management related invoices monthly (Wyse, Elexicon, Metergy etc.)
- Validate Vendor Insurance and WSIB on an ongoing basis.
- Process executive team member’s expenses, printing drawings and documents.
- Maintain departmental filing system, other duties within the scope, spirit, and purpose of the job, as requested by management.
- Assist in preparation of RFPs and tender documents including preparation of analysis and recommendation documents.
- Managing the suite reno admin panel setup for GCs and Project Managers
- Assisting with Reno, Appliance, Cabinet, Consultant, Meter, and Roller Blind PO’s
- Work with the Director, Procurement & Strategic Sourcing Lead, to oversee administrative tasks for assigned categories.
- Assist with the Potential Vendor Tracker

**Requirements**:

- Post Secondary Education either University Degree (i.e. Business or Engineering degree) or College Diploma (Business or Construction Management Program)
- 2 - 3 years of experience working in administrative role
- Strong analytical and problem-solving skills.
- Strong Communication (listening, verbal and written), Interpersonal and Team Building skills with ability to work independently and handle priorities.
- Time management and Attention to detail
- Ability to draft memos and letters.
