**About the Role**

Regional Property Services Inc (RPSI), a division of the Regional Group of Companies, is seeking a dedicated Community Administrator to support the Community and Property Manager. This role includes managing tenant relations, assisting with general administration, and overseeing financial reporting to ensure smooth community operations.

**Key Responsibilities**:
**General Administration**:

- Provide general office administrative support to Community Manager.
- Perform audits of Tenant and Building filing systems, both physical and server files, including security procedures updated internal contact information.
- Perform audits on the Yardi database to maintain accurate resident and maintenance files, and submit monthly checklists to the Community Manager.
- Coordinate vacant apartment’s turn schedule with maintenance, reviews progress, and updates calendar with Make Ready dates.
- Manage vendor scheduling for non-maintenance services such as final cleaning, common area upkeep, and technology services.
- Organize and schedule meetings with vendors or contractors for building reviews and proposal preparations.

**Tenant Relations**:

- Prepare and distribute tenant notices, adhering to proper legal notice requirements.
- Represent Regional Property Services Inc. and assigned properties for Landlord/Resident.
- Board interactions alongside the Community Manager(s).
- Manage social media to remain in touch with residents and the greater community.
- Work with Community Manager to coordinate resident events and other marketing/social functions.
- Prepare lease agreements and conduct screenings for prospective residents, as directed by the Community Manager.

**Financial and Reporting**:

- Create Purchase Orders and/or vendor contracts as directed.
- Work with Community Manager and Accounting on financial tasks as directed.
- Locate, update, and submit all requested reporting from all sources (Yardi, market surveys, resident surveys, etc.)
- Perform other related Property Management duties as required.

**About you**
- Minimum of 1-3 years of experience in an administrative or similar position.
- Excellent verbal and written communication skills, bilingualism is an asset.
- Ability to prioritize tasks, stay organized, and multitask effectively in a fast-paced environment.
- Mature approach with an attention to detail is required.
- Knowledge of Yardi is an asset.
- Working knowledge of Microsoft Office 365 (Word, Excel, PowerPoint, Teams).
- Strong customer service orientation, an engaging and positive attitude towards colleagues and tenants.
