**Duties and Responsibilities**:
Reporting to the School Administrator, the incumbent is responsible for the provision of undergraduate administration for the programs of Art History, History and Theory of Architecture, and Film Studies within the School for Studies in Art and Culture. The Undergraduate Administrator and Administrative Coordinator provides support for the Assistant Directors and the three Undergraduate Academic Advisors, contributes to the recruitment and retention of program students through data analysis and participation in the Unit at recruitment activities, as well as being a resource and providing support for faculty in Art History, History and Theory of Architecture, and Film Studies.
**Qualifications**:
The incumbent must possess the following qualifications:
- The above level of education and experience are necessary to develop the knowledge, skills and mature and sound judgment required to effectively communicate with all levels of internal and external contacts.
- The work of the incumbent is highly varied and the incumbent must possess excellent administrative and time management skills with the ability to organize work effectively, set priorities and meet strict deadlines without supervision.
- The ability to work simultaneously on several assignments with the pressure of multiple demands and changing priorities is absolutely necessary.
- This position requires an extensive knowledge of undergraduate programs and their requirements in Art History, History and Theory of Architecture, and Film Studies. It requires an excellent knowledge of regulations throughout the university in order to act as an important source of information to students and faculty members.
- The Undergraduate Administrator and Administrative Coordinator pursues, compiles and provides detailed and accurate information on program success in terms of recruitment, retention and post-graduation success for three different programs ensuring the accuracy and maintaining the confidentiality of student records.
- With excellent interpersonal skills, the incumbent must present themselves in a professional manner, have highly developed interpersonal and communication skills and be capable of relating successfully to all members of the University community (staff, faculty, and students), and wider community.
- The incumbent is expected to play a key and proactive role in organizing recruitment events on and off campus, and to represent the Unit at those events.
- They must respond to inquiries in a professional manner, and must possess the ability to work successfully both with mínimal supervision within a team setting.
- The position requires a sensitivity to, and understanding of various cultural, ethnic and linguistic profiles.
- Student queries are treated as a priority, and must be respected and handled with professionalism.
- Knowledge of Microsoft Office (Excel and Word in particular).
- Knowledge of Banner would be an asset.
**Education and Experience**:
The above is normally acquired through the completion of:
- Undergraduate university degree, ideally in the Arts and Humanities
- Minimum of five years University administrative experience, which should include progressive knowledge in an academic student environment
