The executive assistant provides administrative support and clerical assistance to the COO and other members of the executive management team within the company. The assistant typically helps schedule and manage the itinerary of executives, including scheduling meetings, travel, and other demands on the executive's time. They will also perform clerical and office duties; these may include, screening phone calls, taking minutes and drafting letters and other documentation on behalf of the executives.

**Responsibilities**:

- Conduct research; prepare correspondence, expense, and statistical reporting.
- Schedule travel, appointments, and meetings.
- Help prepare presentations.
- Manage expense invoices.
- Manage various databases.
- Filing as required.
- Manage time sheets and vacation tracking reports.
- Assist in editing of memos and communications.
- Organize staff meetings, training, and events.
- Handling of sensitive personal and professional information.
- Perform other duties as required.

**Qualifications and Skills**:

- Solid organizational skills, including the ability to prioritize and multitask in a demanding environment.
- Superior communication skills, both written and oral in English.
- Minimum two years of experience as an executive or administrative assistant.
- Preferably have or working towards a bachelor’s or higher degree in business administration or related field or extensive experience in a similar role.
- Excellent communication and interpersonal skills.
- Strong time management and problem-solving skills.
- Able to multitask, pro-active/quick thinker.
- Strong self-confidence.
- Ability to work independently or as part of a team.
- Prior telephone answering experience.
- Caring attitude with ability to positively assist others as required.
- Proficient with Microsoft Office and must be computer literate.
- Excellent organizational and time management skills.
- Ability to work with accuracy and efficiency maintaining an upbeat friendly, positive attitude.
- Ability to build and maintain strong working relationships.
- Embraces change.
- Trustworthy and self-motivated
- Takes ownership and uses initiative.
- Resilient.

**Language**:

- Fluent English both oral and written.
- Additional Language appreciated.
