Studio Plastic Surgery is one of Toronto’s leading plastic surgery and medical aesthetics clinics, known for delivering natural, beautiful results with the highest standard of patient care. We’re currently seeking a highly organized, polished, and client-focused Administrative & Surgical Coordinator to join our growing team.

This role goes beyond the front desk — you’ll be the first impression of our clinic and a key liaison in the surgical journey. You’ll guide patients from inquiry to consultation to surgery day with warmth, professionalism, and precision.

The Administrative & Surgical Coordinator is a vital member of our team, responsible for managing the patient journey from first contact through surgical booking. This role blends client service excellence, organizational efficiency, and medical knowledge to ensure a five-star experience for every patient.

Key Responsibilities:
**Front Office & Client Experience**:

- Schedule consultations and manage provider calendars efficiently
- Deliver exceptional service by addressing questions and concerns with empathy and clarity
- Track patient leads and follow up strategically to convert inquiries into bookings
- Maintain accurate records of patient interactions and appointment statuses
- Assist with EMR/CRM data entry, scanning, and file management
- Collaborate with the medical aesthetics and clinical teams to ensure a seamless patient experience

**Surgical Coordination**:

- Support the full surgical scheduling process — from consultation to OR booking
- Coordinate pre-operative appointments, clearances, and patient instructions
- Liaise with hospitals, surgical centers, anesthesiologists, and internal team to align all surgical logistics
- Prepare and organize all surgical documentation, including consent forms, required bloodwork, and detailed pre
- and post-operative instructions to ensure patients are fully informed post surgery
- Maintain a clear, proactive communication channel with patients as they prepare for and recover from surgery
- Monitor surgical calendars and waitlists to optimize booking efficiency and patient flow

**What We’re Looking For**:

- Minimum 3 years of experience in customer service, surgical coordination, or clinic administration (preferably in plastic surgery, aesthetics, or a medical setting)
- Excellent written and verbal communication skills
- High level of professionalism, discretion, and emotional intelligence
- Exceptional attention to detail and time management skills
- Strong tech skills — experience with scheduling platforms, EMRs, and Microsoft Office
- A warm, proactive, and polished approach to patient care and coordination
