**Research Administrative Support Coordinator**:
**Primary Purpose**: To provide administrative, intake and research support coordination to the College of Medicine Research Support Unit based in Saskatoon.

This position ensures the effective management of administrative duties including maintaining an up-to-date research project database, detailed research project documentation, annual reports, timely processing of all financial transactions, and intake support services. The incumbent is expected to work effectively in a team environment and to provide support and guidance on administrative-related matters.

**Nature of Work**: This position reports to the Director of the Research Support Unit and is part of Community Health and Epidemiology’s (CH&E) administrative team. The Research Support Coordinator will be an energetic and highly motivated individual who thrives on creating systematic organization, documentation, and detailed completeness. Working with competing deadlines and shifting priorities is the norm. Sound judgement, superb accuracy, and the ability to meet deadlines are essential.

**Accountabilities**:

- Provides high level administrative support to all members of the Research Support Unit team including but not limited to the following: maintaining calendars; preparing reports, documents and/or correspondence; travel arrangements; databases; Concur expense submissions; travel requests; and communicating appropriate information as well as directing individuals to the appropriate areas
- Provides courteous, professional, frontline support for the unit, responding to or referring requests from researchers within the College, faculty members working within the unit, and the public at large
- Provides event planning support, working both independently and in collaboration with the team
- Liaises with ConnectionPoint on the processing of travel and other reimbursements, cheque requisitions, service income requisitions, purchase requisitions/orders, and other financial transactions
- Provides effective first-point-of-contact support for interested researchers/clients of the Research Support Unit and organizes, attends and documents subsequent meetings between statisticians and clinician
- Maintains and manages multiple up-to-date databases of incoming research support requests, projects/project progression, funding opportunities, data sources, learning resources, and conference opportunities
- Schedules meetings with Unit’s clients and appropriate staff people. Provides written summary of discussion, conclusions, and planned direction from subsequent meetings
- Drafts and produces annual reports for the Department
- Works as a collaborative member of the Department’s administrative team, providing support and coverage as required
- Plays an active role in continuous improvement to processes
- Effectively represents the Research Unit and its direct-reporting centres in all contacts, ensuring the right tone and interest are projected, dealing with issues and concerns, solving or appropriately referring problems related to office functioning as they arise, and maintaining appropriate confidentiality of information and materials

**Qualifications**

**Education**:
Graduate degree in a health-related field. An equivalent combination of education and experience may be considered.

**Experience**:
A minimum of three to five years of experience providing administrative, finance, and accounting support is required. Research experience and having worked within a research environment are required. Demonstrated proficiency using Microsoft Word and Excel is required. Knowledge of and experience with the University of Saskatchewan’s financial and administrative systems (Unifi, Fast, Crystal Reports, AboutUs, and Concur. Experience with website and social media tools. Experience working and collaborating in diverse and inclusive settings is required.

- Demonstrated working knowledge of the University’s administrative systems
- Excellent interpersonal and communication skills, both verbal and written; possess a professional attitude with the ability to provide timely and courteous service under stressful conditions with a tactful and friendly approach
- Demonstrated ability to be self-motivated with the ability to take direction, work effectively, and show initiative
- Strong computer skills with particular proficiency with Microsoft Excel spreadsheets and Knowledge of analytical software
- Ability to establish and maintain the level of professional relationships that support exceptional collaboration
- Demonstrated ability to identify issues and develop and implement creative and outcomes-oriented solutions
- Demonstrated ability to gather, analyze, and present information
- Ability to work effectively independently within a team-oriented and diverse atmosphere
