Executive Concierge Planner

**Description**:
**Purpose**:
This role will work directly with the manager to lead and develop the Global Registration Team processes to deliver a world class service to all attendees and internal clients. The Senior Executive Concierge will ensure that first class execution, forward thinking and process development are consistently applied by the team to aid in client retention and business growth while still delivering a globally consistent and world class level of service.
The Senior Executive Concierge will own a series of special projects focusing on improving team execution and scalability in addition to flawless execution for in person programs focusing on the registration and Peer-to-Peer experiences.
**Essential Functions/Major Responsibilities**:
- Manage global relationship with registration vendors including day to day operations as well as future initiatives
- Partner with Executive Concierge manager to effectively communicate our priorities and expectations to the Global team
- Coordinate and manage resources as needed and ensure deliverables are timely and meet quality standards
- Understand the needs of our clients, attendees, and internal business partners
- Work with internal technology team to manage priorities for system enhancements, ensuring the highest level of attendee experience including but not limited to Validar and Phoenix as it relates to Executive Concierge role
- Create and manage training programs for internal associates on registration sites and reporting
- Responsible for launching all registration sites and ensuring they are setup, tested and maintained to adhere to timelines
- Manage the on-site requirements and be main point of contact for all Global Events Registration
- Research industry trends and best practices in event registration
- Manage global registration budgets, to include reconciling all registration invoices globally and accurate monthly forecasting of registration expenses
- Travel to events and provide on-site support as needed
- Ownership for updating and iterating playbooks which identify key processes and cross-functional activities
- Collaborate cross-functionally with members of the Operations Team, Client Services Team, and Marketing to drive processes, timelines and priorities, and to deliver and execute a comprehensive plan for each project
- Responsible for partnering with the Executive Concierge Manager to develop, scale and execute strategic initiatives which enhance the attendee experience
- Provide functional expertise to assess potential operational impacts on all departments
- Drive internal engagement through effective communication and training
- Partner with Product Strategy Manager and Executive Concierge Manager on process improvement and enhancements as it relates to the Executive Concierge team
- Travel onsite to Evanta events as assigned to execute the Executive Concierge and Peer-to-Peer roles as necessary
**Secondary Responsibilities**
- Assist with the production of Evanta company events
- Global operational effectiveness (Scalable and Consistent processes)
- Engagement and effective management of external partners and local teams
- Flawless client experience
- Effective relationships with other business units and inspired confidence in global teams and all of Gartner
- Attendee and sponsor retention
- Achievement of financial objectives, accurate forecasting of registration expenses
- Travel onsite to Gartner Destination programs to support where needed and partner with registration team to share best practices across business units
- Support the logistics team with venue sourcing which includes, but is not limited to research, negotiation, budgeting, contracting, and procurement
**Requirements**:
- Experience of database management, to include the production of reports out of a database
- Proficiency in the MS Office suite including Word, Excel and Power Point
- Strong attention to detail
- Highly organized
- Ability to build and maintain relationships with high degree of professionalism
- Strong written and verbal communication skills
- Proven success working in a collaborative environment
- Project management experience
- Ability to manage multiple deadlines in a fast-paced environment
- Maintains composure and leads with solutions in high pressure situations
**Education**:
- Bachelor’s degree with focus on events and/or marketing highly preferred, but not required based on experience levels
**Experience**:
- Minimum of 3 years of relevant experience within a corporate (or related) business environment
- Corporate and event management experience highly preferred
