We are looking for a Client Services Administrator to join our _**Vancouver**_ _**team**_
The role of the Client Services Administrator is to oversee the daily administrative functions, offering essential clerical support to maintain a fast-paced office setting while ensuring the delivery of exceptional service to our valued clients.
**KEY RESPONSBILITIES**
- **Client Administration**: Oversees all aspects of client care including adding new clients into our system and maintaining client records; sending and receiving signature documents; provides support for the preparation of client correspondence; and responding to various queries from team members, clients and third parties.
- **Finance Support**: Creates, verifies and processes invoices for payment; sends out weekly reminder on AR invoices; makes weekly AR calls for past due accounts, and issues monthly AR statements.
- **Reception**: Welcomes and greets on-site visitors and assists in managing reception switchboard; consistently creates a positive and welcoming atmosphere for all clients, vendors and team members; manages incoming and outgoing mail/courier packages ensuring that they are delivered to the appropriate parties.
- **Office**: Maintains office supplies and equipment; ensures cleanliness of office and common areas.
- **General administration**: Performs general administrative duties as required including, but not limited to, typing, photocopying, scanning, faxing, collating, and printing reports; assisting in coordinating firm appointments, meetings, facilities and events.
**REQUIREMENTS**
- Minimum of 2-3 years of experience in a similar role or an administrative capacity.
- Deadline-driven, your work is always completed on time
- Patient and calm, you are able to communicate with team members and clients, ensuring their needs are met
- Attention to detail, you are methodical and meticulous in your approach to assigned tasks
- Strong team player, you have experience working in a team setting
- Demonstrates a strong commitment to maintaining confidentiality
- Familiarity with Microsoft Office Suite products including Excel, Word, PowerPoint, and Outlook.
- Previous exposure to accounting software is an asset.
- _**Cantonese and Mandarin language skills are an asset**_
