Tradesman Manufacturing, a leading provider of high-quality HVAC products is seeking a proactive and highly organized Executive Assistant to support our Operations Manager in Lethbridge. **REPORTS TO**:Operations Manager

**SALARY RANGE**:$57,000 - $65,000

**ESSENTIAL DUTIES AND** **RESPONSIBILITIES**
- Administration:

- Book appointments, manage calendars, and handle meeting logistics.
- Process documents, reports, and paperwork required by the Operations Manager or senior management.
- Maintain organized records and filing systems for documents and communications.
- Handle travel arrangements, expense reports, and other logístical support for the Operations Manager.
- Assist with additional tasks and special projects as assigned.
- Meeting Coordination and Support:

- Attend and document various meetings at the request of the Operations Manager.
- Prepare meeting agendas, distribute materials, and ensure the Operations Manager is briefed and prepared in advance.
- Take detailed meeting minutes, track action items, and ensure follow-ups are executed on time.
- Coordinating/assisting with event set-up and take down of meetings and events.
- Running errands for management team as needed.
- Upward Management:

- Proactively manage the Operations Manager’s schedule, ensuring tasks, deadlines, and priorities are clearly communicated.
- Keep the Operations Manager on track by providing reminders and updates on upcoming responsibilities and commitments.
- Assess the urgency of tasks and requests and reprioritize as necessary to align with business objectives.
- Evaluate tasks based on urgency and importance, ensuring critical issues are addressed promptly.
- Adjust schedules and workloads as necessary to meet the demands of the Operations Manager’s role.

**WORK ENVIRONMENT**
- Working conditions are normal for an office environment, mínimal noise with temperature controls.
- Occasional exposure to the manufacturing environment including exposure to seasonal temperature changes, loud noises, and moving machinery.
- Some travel between company owned properties may be required.
- Periodic weekend and/or evening work is expected.
- Use of personal protective equipment (PPE) when in the manufacturing facility to include but not limited to, safety glasses, steel toe foot protection, hearing protection, and hard hats.

**QUALIFICATIONS**

**EDUCATION/EXPERIENCE**
- Post Secondary Education in Business Administration or related.
- Proven experience in an administrative role working with senior management or shareholders.
- Ability to maintain confidentiality and all information with discretion.
- Strong organizational skills and ability to prioritize in a fast-paced, always changing manufacturing environment
