Are you organized, detail-oriented, and thrive in a collaborative environment? We're seeking an Operations Administrator to play a pivotal role in our operations, documentation, and maintenance processes
**Role Overview**
This position involves documenting maintenance processes, coordinating with various teams, and assisting in maintaining equipment and facilities. The Operations Administrator will work closely with Quality, Production, and Logistics teams to ensure compliance with regulatory requirements and operational excellence.
**Your Contribution**
Documentation and Compliance
- Document all maintenance activities in accordance with Good Manufacturing Practices (GMP) standards.
- Ensure adherence to document retention procedures, retrieving and organizing documents as needed.
Maintenance Planning and Scheduling
- Assist in planning and scheduling corrective and preventive maintenance tasks based on priority levels.
- Maintain the preventative maintenance equipment system to track and manage equipment maintenance schedules.
Cost and Data Management
- Record and document repair work details and associated costs within the Enterprise Resource Planning (ERP) system.
Contractor and Vendor Coordination
- Collaborate with contractors and vendors to schedule and facilitate maintenance activities.
- Manage work orders, invoices, and related documentation through the ERP system.
Cross-Functional Collaboration
- Work closely with the Quality and Production Teams, attending meetings to align maintenance activities with production goals and quality standards.
- Support audits and inspections conducted by internal and external auditors.
Safety and SOP Compliance
- Ensure that safety protocols are prioritized and adhered to during all maintenance tasks.
- Create and maintain Standard Operating Procedures (SOPs) related to maintenance processes as needed.
Logistics and Inventory Support
- Collaborate with the Logistics team to manage freight requirements for parts and service deliveries.
- Assist in monthly inventory documentation and tracking.
Distribution and B2C Shipments
- Assist in the preparation of Business-to-Consumer (B2C) shipments for distribution, ensuring accurate documentation and compliance.
**What You Will Bring**
- 2-3 years of experience in maintenance coordination, operations administration, or a related role preferred.
- Some post-secondary education in a related field would be considered an asset.
- Familiarity with Good Manufacturing Practices (GMP) and quality standards.
- Familiarity with Enterprise Resource Planning (ERP) systems.
- Proficiency in Microsoft Office Suite.
- Strong organizational skills and attention to detail.
- Effective communication and collaboration abilities.
- Ability to work independently, prioritize tasks, and meet deadlines.
- Understanding of safety protocols and procedures in maintenance activities.
- Adaptable and capable of managing multiple tasks in a fast-paced environment.
- Sound problem solving, decision-making, analytical thinking, planning, and execution skills.
- Ability to obtain and maintain a valid driver’s license.
